Job Summary:
The Accounting Specialist provides and coordinates accounting and administrative support to the department, and assists in the administration of departmental functions for the University.
Duties and Responsibilities:
Serves as a resources to departments regarding budgets, accounting information, financial policies and procedures.Answers telephones, meets and greets visitors, and assists in other clerical functions. May arrange travel and meetings and coordinates office functions.Maintain various ledgers, registers, and journals; post, check and balance ledgersAssists with preparation of routine entries and posting of financial transactions; reconciles entries and internal ledgers to financial reporting systems reports.Verify account codes for accounts payable invoices; pay invoices; enter payment information into ERP, verify appropriateness of invoices in relation to use of budgeted fundsAssists in coordination, scheduling, and facilitating staff finance training.Provides administrative support to the Office of the Controller and assumes a variety of administrative duties including arranging itineraries, meetings, conferences, workshops, and agendas; maintains supervisor's calendar using independent judgement to prioritize scheduleReviews documents for proper revenue and expenditure classification; code data for correct budgetary charges according to prescribed procedures.Manages the operational details of the department; acts as office receptionist; gives and gathers information that calls for reference to a variety of sources and wide knowledge of policies and procedures; maintains/establishes filing systems; sorts and distributes mail.Serves as a back-up for checking banking records for the previous day in the event the assigned accountant is not available.Organizes correspondence and forms requiring attention of supervisor and reviews all documents for accuracy.Assists Controller and Budget Analyst with Banner Finance and budgeting projects (budget analysis, etc.).Assists Controller with access set up of budget managers/clerical assistants in Banner Finance and serves as point of contact for questions regarding Banner Finance and general campus policy.Oversees the Controller's departmental budgets and provide updates when requested.Oversees university projects budgets and provides balances to Controller and VPFA/CFO for budget planning.Regularly monitors and maintains completion status of journal entries and other financial documents in Banner.Performs other duties as assigned.Required Minimum Qualifications:
High School diploma or equivalent, and(4) years full-time equivalent experience in clerical or administrative support,OR
- Associate degree in business-related field, and
- (2) years full-time equivalent experience in clerical or administrative support,
OR
- Bachelor's degree in business related field
Preferred Qualifications:
Bachelor's degree from accredited higher education institutionExperience in higher educationAt least two (2) years of accounting or bookkeeping experienceRequired Documents:
