POSITION PROFILEThe Accounts Payable Clerk is responsible for the processing of vendor invoices and vendor payment to ensure that Carlile expenses are recorded and paid in an up to date and accurate manner.

ESSENTIAL DUTIES

  • Operates safely and compliance with all established HSSE policies and procedures
  • Receive and date stamp all incoming mail to the department daily
  • Distribute incoming vendor invoices for coding
  • Verifying and auditing the approval of invoices in the Purchase Order System
  • Verify that transactions comply with corporate policies and procedures
  • Coding and entering invoices into computerized accounting system (currently TruckMate and Synergize
  • Reconcile monthly vendor statements, request invoice copies and research issues
  • Provide phone and written communication responses with vendors on their account
  • Prepare vendor checks for mailing.
  • Process manual checks as and when required, post manual check in the system
  • Maintain vendor profiles with accurate information
  • Assist in month-end closing
  • Perform other duties as assigned


QUALIFICATIONS (Education, Experience and Certifications)
  • High school diploma required or GED equivalent; college accounting courses are a plus
  • Two to three years accounts payable experience with purchase order experience preferred
KNOWLEDGE, SKILLS AND ABILITIES
  • Ability to multi-task and work under pressure and strict deadlines
  • Must have the ability to work independently and problem solve
  • Working knowledge of industry specific accounting/purchase order software
  • Working knowledge of Microsoft Office suite of products, Outlook, Word, Excel
  • Must maintain strict confidentiality in performing the duties of the position
  • Follows instructions, responds to management direction, takes responsibility for own actions, completes tasks on time or communicates alternate plans
  • Treats people with respect; keeps commitments, inspires the trust of others, works with integrity and ethically, upholds organizational values
  • Strong customer service with a high level of attention detail and accuracy

  • Excellent organizational skills, including the ability to work with other departments and organizations and handle multiple projects concurrently

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and other office related devices.
