Administrative Assistant (Temporarily Remote)

The American Civil Liberties Union of Virginia (ACLU-VA) is seeking an administrative assistant to join our growing team. The Operations team is looking for a dynamic person to fill the Administrative Assistant position. This position will work closely with all the organization's teams by providing customized administrative, strategic and critical support. This position is a vital part of our operations team. The Administrative Assistant should have an intuitive ability to anticipate and solve problems, strong organizational skills, a collaborative work ethic, a customer service mindset, the ability to maintain confidentiality, and attention to detail.

The Administrative Assistant will work from our Richmond Office (temporarily remote but will be transitioned to the workplace at a future date).

What You'll Do

To help us protect and advance the ACLU's mission, the Executive Assistant and Board Administrator will:

  • Provide support and coordinate administrative tasks for all teams, including and not limited to scheduling and coordinating meetings and other general administrative functions
  • Calendar and coordinate meetings, use independent judgment and initiative to prioritize communications from the public
  • Prepare confidential and non-confidential correspondence and memos independently or from written and or oral instructions
  • Assist in office management
  • Provide support and recordkeeping strategies for the organization
  • Maintain front desk coverage and serve as the primary point of contact with the public; provide exceptional customer service to on-site callers and visitors, respond to and route email inquiries, process incoming and outgoing mail at the office and post office box
  • Attend and take staff meeting notes, survey results, and other communications
  • Assist the development team with mailings
  • Assist the development team with managing the process of sending acknowledgment letters to members and donors
  • Maintain office technology and coordinate with external IT sources for support

Minimum Requirements
  • Proficiency with office technology and information systems, including databases, online communications, word processing, spreadsheets, and video conferencing

  • Willingness and availability to work occasional evenings, weekends, and overtime as necessary

Salary is based on market factors and individual experience and abilities. The salary range for this position is $43,470 to $73,621. To preserve the opportunity for advancement, we do not typically hire above the mid-point of the range. In addition, we offer excellent benefits including paid time off, generous paid holidays, a 401k plan with employer contribution, flexible spending account, paid medical, dental, and vision insurance, 50% employer-paid dependent medical coverage, life insurance, annual sick leave, short-term and long-term disability insurance, professional development allowances, extended leave to include parental leave after one year of employment.

Due to COVID-19 and our desire to keep our employees safe, our organization is currently operating remotely. At this time, we have an interim remote work policy in place that will offer remote work flexibility to all staff until June 30, 2022. After that time, employees will follow the long-term remote work policy. This position will require a presence in the downtown Richmond office with some remote opportunities.
