SUMMARY

The Administrative Assistant provides a broad range of services to the Deputy Assistant Secretary (DAS) for Reactor Fleet and Advanced Reactor Deployment at the Department of Energy (DOE), in Germantown, MD.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Essential duties and responsibilities include the following. Other duties may be assigned.

Promotes and encourages a culture of compliance with all applicable rules (federal, state, local, Federal Acquisition Regulations, Code of Federal Regulations, Prime Contract requirements, etc.) for themselves and the company as a whole. Fosters an environment in which they will reportanyviolations or reasonably suspected violation of CNI policy, FAR, and/or CFR and are comfortable discussing the myriad compliance, conflict, FAR, CFR, etc. issues that arise during the performance of a government contract.

Assists the Office of Reactor Fleet and Advanced Reactor Deployment (NE-5) with administrative tasks, to include the Deputy Assistant Secretary, Associate Deputy Assistant Secretary, Office Directors, and other staff, as necessary.

Responsibilities include scheduling meetings; answering email - directing to staff based on program assignments and responsibilities; printing and copying documents; scheduling and booking domestic and international travel; completing vouchers once travel has been completed; processing paperwork for visitors, escorting visitors; picking up packages.

Duties include preparation of correspondence packages; updating the office tracking system; and maintaining office documentation.

The position requires constant communication with the program analyst in the office.

Responsible for aiding in own self-development by being available and receptive to all training made available by the company.

Plans daily activities within the guidelines of company policy, job description and supervisor's instruction in such a way as to maximize personal output.

Responsible for keeping own immediate work area in a neat and orderly condition to ensure safety of self and coworkers. Will report any unsafe conditions and/or practices to the appropriate supervisor and human resources. Will immediately correct any unsafe conditions to the best of own ability.

EDUCATION / EXPERIENCE

Must have relevant education and support experience in a professional business environment as specified below, or equivalent combination of education/experience.

Associate degree or equivalent and a minimum of three (3) years relevant experience in related discipline.

CERTIFICATES / LICENSES / REGISTRATION

Analytical abilities.

Operational knowledge of standard office practices and procedures.

Ability to compose correspondence from draft to final version, both electronic and hard copy.

Knowledgeable and proficient in the use of the English language as to professional business grammar, spelling, punctuation and capitalization in the preparation of correspondence, reports and presentations

Excellent verbal and written communication skills.

Excellent customer service skills.

Ability to work effectively both individually and in a team environment.

Proficient in the use of standard office equipment such as computers, typewriters, copiers, fax machines, telephone systems and office automation systems.

Skilled proficiency in the use of eDocs and GovTrip.

Skilled proficiency in the use of Microsoft Windows and Office Suite (i.e., Word, Excel, Outlook, PowerPoint, etc.).

LANGUAGE SKILLS

Ability to read and comprehend instructions, correspondence, and memos. Ability to write correspondence. Ability to effectively present information in one-one-one and small group situations to customers, clients, and other employees of the organization

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations
