About the Position

We are seeking an Administrative Assistant to support one of our vertical lines of business and provide executive support to the group's Senior Vice President. The ideal candidate is confident, enthusiastic, resourceful, tech-savvy, forward-thinking, self-motivated, and a creative problem solver.

The role will consist of high-level administrative support to company leaders and production staff through word processing, document preparation and other general administrative support as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Provides support to executive, management, and other employees as needed.
  • Furnish reports to executives/management for weekly coordination and sales meetings, monthly officer and board meetings, and quarterly planning meetings.
  • May work alongside Human Resources, IT, Marketing, and Accounting to coordinate new hire on-boarding and gathering/preparing data for proposal submissions.
  • Schedule, facilitate, and confirm in-house and outside appointments, functions, and special events to include catering and meeting space coordination for onsite and offsite meetings.
  • Place/receive calls requiring a high level of sophistication with partners and clients. (take detailed messages, customer relations, handling sensitive info, disseminating information, screening calls and decision making).
  • Responsible for formal and informal business correspondence, memos, and emails.
  • Disseminates correspondence to appropriate person(s), preparing forms and obtaining signatures on required documents.
  • May be responsible for hiring, training and managing administrative support as needed.
  • Maintain an electronic/paper filing system, scanning and archiving aged data when needed.
  • Complete expense reports/time-sheets on behalf of executives/senior management.
  • Must exercise extreme discretion; will be privy to sensitive/confidential information.
  • Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Renew executive's state licensure(s), when applicable
  • Must be able to work after typical hours as project requirements and company needs dictate.
  • Develops and maintains positive customer and client relationships to foster repeat business.
  • Updates and maintains body of knowledge related to training, degree or job responsibilities.
  • Completes assigned duties on time and as directed.
  • Adheres to company policies and procedures.
