Job Title: Administrative Sales Support

General Summary: The Administrative Sales Support position will provide general sales and customer assistance to the Sacramento team. This position utilizes skills to make certain that sales personnel have the proper information and assists with job requirements for customer sales.

Duties and Responsibilities:
• Agreement and alignment with EMCOR/ Mesa's written philosophy of sales, established processes and procedures related to sales
• Provide accurate, timely support to the sales team or other sales team member when designated
• Booking support for both projects and service agreements to include fostering new opportunities through booking i.e., running interference between sales and booking coordinator/ Irvine
• CRM Maintenance- CRM cleanup and management as directed
• General Sales Support-
a. Proposal generation, small quote generation to include our "rapid response team"
b. Provide support needed to respond to RFP and or RFQ request related to maintenance or project opportunities to include:
i. RFP review for all required bid docs and associated signatures required
ii. Prequalification support for bid opportunities
iii. Bid bonds
iv. DVBE and SB paperwork as well as associated certification requirements
v. Certificates of insurance
vi. Maintain team resumes
vii. Maintain company resumes i.e., project references
c. Provide scope development support for sales team members
d. Communicate with individuals both internal and external needed to gather information for work being quoted
e. Communicate with vendors as required to gather costs for services needed to complete proposals
f. Complete project binders or materials needed for client presentations
g. Amend, adjust, change scopes, bid temps, presentation documents, etc. as required or requested
h. New customer set up support including gathering customer information as indicated on the customer intake form
i. Vendor and subcontractor set up
j. Maintain company information and forms to include but not limited to the following: W9, financials, DIR# and expiration date, CSLB# and expiration date, tax and CA corporation #, etc.
k. Lead generation- assist the sales team with research on new target customers and create customer profiles with pertinent info including contacts, titles, size of business and facilities, customer mission statements, annual reports, company initiatives, etc.• Complete site visits to gather information required to quote maintenance and project solutions
• Interact with departments within Mesa as needed in relationship to tasks assigned
• Interacting with fellow Sales Team members and other departments (i.e., Operations, chiller teams, project management, etc.) in a professional manner
• Maintain constant communication with the Director of Sales, Executive Assistant and/or salesperson being supported
• Demonstrate a personal commitment to your growth and development as a Sales Professional, including attendance at product and sales training events, participation at all professional training provided by EMCOR/Mesa, etc.

Qualifications:

• 3+ years' experience working in administrative support at a construction/HVAC/building automation company or equivalent experience preferred.
• Strong Excel and MS Office skills required
• Self-motivated

• Strong customer presentation skills and a demonstrated sales aptitude
