SUMMARY
The Administrative Specialist I provides a broad range of administrative support services to the U.S. Department of Energy, Office of Science, Argonne Site Office (ASO). ASO is an organization within the U.S. Department of Energy's Office of Science with responsibility to oversee and manage the Management and Operating (M&O) contract for the Argonne National Laboratory (Argonne) in Argonne, Illinois.
ANL is one of ten Office of Science Laboratories and is a multi-program laboratory with a primary mission on delivering breakthrough science and technology in the areas of Basic Energy Sciences, Energy Efficiency and Sustainable Energy, and Computational Sciences. Argonne also performs work for the National Nuclear Security Administration and a host of other Federal agencies. The ASO is responsible for program implementation, acquisition management, and laboratory stewardship at Argonne. Through its oversight role, the ASO is affecting the safe and efficient operation of Argonne while enabling the pursuit of visionary research and development in support of DOE's missions.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Essential duties and responsibilities include the following. Other duties may be assigned.
Provides timely and accurate data entry, data analysis, retrieval and word processing services. The software includes, but is not limited to, iEdison, ATAAPS (time and attendance) and Microsoft Office Suite (e.g., Word, Excel, Power Point, Access, etc.).
Prepares documents, presentations and spreadsheets with Microsoft Word, Publisher, PowerPoint, SharePoint, and Excel.
Receives visitors.
Answers phones.
Takes phone messages.
Schedules and supports meetings/video conferences.
Makes appointments.
Handles mail.
Provides travel support that includes:
- Utilizing the AdTrav and Concur automated travel management systems.
- Making travel arrangements (e.g., airline, lodging and transportation reservations).
- Preparing travel authorizations and vouchers.
Applies appropriate funding strings/budget authorization codes.
Coordinates, distributes and files copies of completed correspondence.
Reviews files and records and preparing them for retirement/inactive storage.
Maintains files and provides records management in accordance with DOE directives.
Provides assistance to Federal staff in conducting studies and analyses to improve the effectiveness and efficiency of administrative operations.
Identifies actual or potential problems, trends, significant management or program deficiencies, and areas of imbalance.
Recommends corrective measures/actions to Federal managers and supervisors.
Evaluates current administrative practices and operating procedures to ensure new and changing requirements are met.
Finalizes reports related to the effectiveness of program activities.
Maintains guidance and instructions for implementation of new administrative policies, procedures, and regulations.
Maintains documentation regarding laboratory expenditures and funding transactions.
Responsible for aiding in own self-development by being available and receptive to all training made available by the company.
Plans daily activities within the guidelines of company policy, job description and supervisor's instruction in such a way as to maximize personal output.
Responsible for keeping own immediate work area in a neat and orderly condition to ensure safety of self and coworkers. Will report any unsafe conditions and/or practices to the appropriate supervisor and human resources. Will immediately correct any unsafe conditions to the best of own ability.

EDUCATION / EXPERIENCEMust have relevant education and administrative support experience in a professional business environment as specified below, or equivalent combination of education / experience.
Administrative Specialist I - Associate Degree and a minimum 1-year relevant experience
CERTIFICATES / LICENSES / REGISTRATIONJOB SPECIFIC KNOWLEDGE / SKILLS / ABILITIESOperational knowledge of standard office practices and procedures.
Proficient in the use of standard office equipment such as computers, typewriters, copiers, fax machines, telephone systems and office automation systems.
Skilled proficiency in the use of Microsoft Windows and Office Suite (i.e., Word, Excel, Outlook, PowerPoint, etc.).
Ability to quickly grasp DOE information systems (STRIPES, PAMS, SharePoint, Lync, etc.).
Ability to compose correspondence from draft to final version, both electronic and hard copy.
Knowledgeable and proficient in the use of the English language as to professional business grammar, spelling, punctuation, and capitalization in the preparation of correspondence, reports, and presentations.
Working knowledge of business records management and filing processes.
Excellent verbal and written communication skills.
Excellent customer service skills.
Ability to work effectively both individually and in a team environment.
LANGUAGE SKILLSAbility to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-one-one and small group situations to customers, clients, and other employees of the organization.
MATHEMATICAL SKILLSAbility to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
