Brief Description:

The AMS ("Agency Management System") Support Manager is responsible for ensuring timely and accurate updates of client and policy information within the AMS system and managing quality assurance programs. They do this by establishing policies and procedures, managing various processes, hiring new employees (or outsourcing), training them in specific skill sets and procedures, and monitoring results. They will also audit operations client files for completeness.

Essential Duties and Responsibilities

  • Manages day-to-day business of AMS data support while balancing the responsibilities of ensuring the data is entered timely and accurately.
  • Works closely with Corp. Operations team to ensure all operational, administrative, and compliance functions involving the enterprise AMS are being properly executed in accordance to best practices.
  • Collaborates with and audits other back-office team members to ensure plan data is being provided and retained for back up.
  • Oversees and reports weekly, monthly, quarterly, and annual metrics.
  • Plays a significant role in long-term planning, status reporting, and implementing change control processes.
  • Identifies trends and assess opportunities to improve processes and execution.
  • Responsible for all training of staff or outsourced support.
  • Raises and tracks issues and conflicts, remove barriers, resolve issues of medium complexity involving stakeholders and escalates to appropriate level when required.
  • Establishes and maintains credible, professional relationships with internal clients, and external vendors.
  • Solicits and responds to feedback while gaining commitment and support.
  • Stays up to date on industry regulations, trends, and AMS technology.
  • Works closely with Director of Operations on other special planning and departmental projects.

REQUIRED EDUCATION AND EXPERIENCE:
  • Bachelor's Degree and/or equivalent work experience preferred;
  • Ability to manage diverse personalities;
  • Strong problem solving, critical thinking, coaching, interpersonal and verbal/written communications skills;
  • Demonstrated skills in project management and ability to analyze
  • Intermediate to advanced skills with Microsoft Office, Outlook, Word, Excel and PowerPoint;
  • Must be able to handle multiple tasks simultaneously and make quick, independent decisions;
  • Professional demeanor and presentation;
  • Must be able to organize, prioritize, follow-up and communicate effectively with all levels of the organization;
  • Must be willing to work with deadlines and adapt to changing needs;
  • Must be willing to work in a team environment.

  • Proficiency in Microsoft Office Suite, including MS Word (Intermediate), Excel (Intermediate) and PowerPoint (Intermediate);
  • Proficiency in use of PC such as keyboard skills and electronic folder/file organization and management;
  • Aptitude for learning internal systems, applications and internal work flow of the department;
  • Must be able to effectively interact with people at all levels inside and outside of the company.

  • Work is typically performed either on site at MMA East's Conshohocken or at home, remotely.
