Job Description Summary
This position acts as Assistant Director of Gifts Accounting & Administration, oversees the daily operation of gift & pledge processing; supervises and oversees 5 Gift staff members and will be point person for all gift and pledge responsibilities. This position provides direct management to ensure the integrity, accuracy, and completeness of all alumni and donor data in Atlas, Salesforce and BEN Financials. This includes overall supervision for all activities relating to gift processing to the University. Must ensure the data quality is consistently high and improving on an ongoing basis; must maintain donor fiduciary requirements; reconcile gift activity and ensure daily edits are completed; assist with DAR Training for monthly Gift Transmittal training and ensure training material is up to date; work closely with Undergraduate Financial DAR staff and participate in meetings/trainings.

Must provide guidance and leadership relative to gifts to schools and centers. Work closely with managers to establish solid working relationships, set performance standards, organize, and motivate staff to achieve desired goals. Prepare documentation on policies and procedures related to gift processing; provide internal training as needed; serve as subject matter expert for all gift processing functions and assumes quasi leadership role during director's absence.
Work closely with Information Systems and Computing (ISC) on database initiatives and enhancements

Job Description

Specific Duties:

Oversee and manage daily operations of gift processing to ensure timely and accurate deposit and recording of Gift and Pledge contributions to the University. Maintain fiduciary responsibility to donors.

Works closely with team and will assist with various processing as needed. Monitor reporting processes to evaluate quality control and audit processes; create audit reports as needed.

In partnership with the Director of Gifts Accounting, Administration and Records, ensure all schools, resource centers and fundraising units adhere to policies and procedures relative to gift processing.

Act as the department's primary liaison on all donation concerns.

Train staff; set clear goals and expectations; foster learning and development; inspire team through enthusiasm and optimism

Act as functional team member for Gifts; includes enhancements and training needs for Atlas and Salesforce.

Perform additional duties as assigned.

Required to work Alumni Weekend, Winter Break, and when needed

Homecoming.

Qualifications:

  • A Bachelor's Degree and 3 years to 5 years of related experience or equivalent combinations of education and experience is required.


  • Basic understanding of project management techniques/methodologies and business system analysis. The ability to assimilate and correlate disconnected documentation and diagrams and articulate their collective relevance to business or project needs.


  • Experience in data analysis, preferably in development and alumni relations.


  • Excellent data entry and analysis skills required.


  • Must demonstrate the ability to provide excellent customer service to a diverse group of alumni, development officers and other co-workers, and other professionals.
  • Must be able to manage multiple daily tasks, while working quickly and independently, and meet deadlines.


  • Must have high comfort level with web research and tools. Ability to work in a collegial and collaborative environment.


  • Knowledge of second language preferred.


  • Development experience preferred.


  • Salesforce experience preferred.


  • Knowledge of Business Objects, Access, Word, and Excel software preferred.


  • Ability to work occasional evenings/weekends as needed. Required to work Alumni Weekend, Winter Break, and when needed Homecoming.
