SUMMARY:

The Assistant Director of Operations for Equity & Community is responsible for providing strategic and operational support for the Equity & Community unit in the areas of budget management, data analysis, and systems coordination.

RESPONSIBILITIES:

Budget Management

  • Executes unit budget strategy in collaboration with Director of Operations, Senior Administrative Officer, Executive Director of Bonner Center for Civic Engagement, Director of Institutional Equity and Inclusion and team leads.
  • Monitors multimillion dollar departmental budgets and develops custom budget reports and projections for unit leadership to support analysis and decision-making.
  • Implements budget planning and monitoring programs in concert with unit budget strategy.
  • Develops and implements procedures and guidelines for the unit's annual budgeting process.
  • Maintains knowledge of university financial procedures and incorporates them into unit and department guidelines and training.

Data Analysis and Reporting
  • Develops and documents reporting and data management policies and procedures.
  • Coordinates the collection of data from unit and University technology systems.
  • Generates statistical and analytical reports for both internal purposes and for use in external reporting (to University units and reporting agencies); Prepares reports and data visualization tools to unit leadership to assist with unit's assessment and communication efforts around impact, outcomes, strategic goals, and financial metrics.

Systems Administration
  • Coordinates the unit's strategy for leveraging technology systems to create systems and structures that enhance unit efficiency and maximize impact, to include evaluating, recommending, and leading implementation of system improvements and adoptions to solve existing and emergent unit needs.
  • Develops and leads maintenance of documentation and organization of unit-wide electronic files.
  • Provides software administration leadership and training as needed to support departmental operations and priorities.
  • Manages and maintains system access and permissions.

Additional Responsibilities
  • Performs special projects as assigned.

QUALIFICATIONS:
  • Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
  • Ability to prioritize, multi-task, and work independently, efficiently, and with flexibility in an organized manner.
  • Ability to communicate effectively, build rapport with people, and work well as part of a diverse operational team
  • Ability to accurately manage and prepare financial and accounting records, such as budget reports and purchasing card statements
  • Ability to plan, implement, and evaluate departmental initiatives such as the student employment and departmental budget request processes
  • Ability to read and analyze data in various forms.
  • Ability to develop data visualizations (e.g. graphs, charts) as a means of succinctly communicating complex information and data
  • Thorough knowledge of Microsoft Excel
  • Demonstrated ability to manage confidential information responsibly and professionally.
  • Working knowledge of Box, Bannerweb, and Microsoft Office and PowerPoint, or equivalent
  • Exceptional analytical and organization skills.
  • Knowledge of general accounting principles.
  • High standards for accuracy and meticulous attention to detail.

EDUCATION & EXPERIENCE:
  • Bachelor's degree required. 4 years plus experience in budget management. Higher education experience preferred.

WORK HOURS:
  • Full-time, exempt position
  • Monday - Friday, 8:30 a.m. - 5:00 p.m.; 7.75 hrs./day; 38.75 hrs./week

SALARY STRUCTURE:
Grade 6- (Hiring range $55,000 to $68,000) *Includes a $5,000 signing bonus!*
