Assistant Property Manager works with the Property Manager in the general administration of the property and performs all related management functions. To be fully cross trained on Managers duties and act in that capacity in the Managers absence. The Assistant Manager is responsible for coordinating the leasing and marketing efforts of the property which may include training the leasing staff.

Essential Duties:

  • Maintains all accounting on the property includingcollecting and posting rent, financial and leasing reports, month end, preclose, bank deposits and ensuring a balanced rent roll.
  • Collects delinquent account balances and serves balancedue notices for current and past residents in a timely manner. Sends balances to collection companies, asneeded.
  • Responsible for all Leasing Consultant duties,including but not limited to leasing of apartments and all follow up andapplicable paperwork.
  • Processes evictions including serving notices,attending court hearings and processing all required paperwork.
  • Prepares correspondence including balance notices,lease violation notices, and other memos or notices. Sends out and follows up on lease renewalletters.
  • Walks apartments after move outs and assessescharges. Provides back up documentation to include photos. Processesmove out dispositions (SODAS) charges cleaning, damages or other fees.
  • Performs pre-close and accounting month end inaccordance with accounting calendar.
  • Processes non-sufficient fund (NSF) check processing.
  • Assists residents with concerns and requests includingany necessary follow-up.
  • Shops competitive properties.
  • Performs all necessary audits, including but notlimited to audits of new lease agreements as well as ongoing lease fileaudits.
  • Ensures compliance with renters' insurance policy and complieswith company policies for notices and assessing fees.
  • Enters all daily activity into Yardi including phoneand site traffic rentals, move-in/outs, notices to vacate, cancellations,lease renewals, etc.
  • Assists property manager in supervising and trainingleasing consultants in office procedures, leasing techniques and developingmarketing skills.
  • Follows up on unclosed traffic with leasing consultantsand prospective residents.
  • Reviews guest cards and phone logs.
  • Approves move-in files prepared by leasing consultants.
  • Completes weekly LRO market survey and monthly Yardimarket survey.
  • Assists with resident retention through renewal programand community events. Participates inresident functions as required by Property Manager.
  • Maintains courteous communications and follow-up correspondence with residents, applicants, prospects and representatives ofother companies.
  • Performs, develops and supervises marketing effortsincluding outreach marketing, reviews accuracy of websites.
  • Assists property manager in all aspects of employeemanagement and resident relations. Supervises on-site staff in the absence ofthe Property Manager.

Required Skills:
  • Ability to read, write, understand, and communicate inEnglish.
  • Strong math and accounting skills.
  • Strong typing skills.
  • Understanding of financial statements (budget, financial reports, accounting information, etc.).
  • Strong understanding of federal, state and local fairhousing laws and provisions.
  • Superior customer service skills including the abilityto manage difficult customers and/or situations.
  • Strong attention to detail, organizational,time-management and problem solving skills.
  • Professional verbal and written communication skills.
  • Strong leadership and management skills; ability todirect a team.
  • Detail oriented; ability to manage conflictingpriorities and to adjust priorities on a daily basis.
  • Ability to work a flexible schedule to include weekends, evenings and holidays.

Required Experience:
  • Minimum two year residential leasing, sales and/or management experience.
  • Experience in leadership and managing a staff preferred.
  • Experience using Yardi orother related property management accounting software.
  • Experience using Microsoft Outlook, Word, and Excel.
