Eskenazi Health serves as the public hospital division of the Health & Hospital Corporation of Marion County. Physicians provide a comprehensive range of primary and specialty care services at the 327-bed hospital and outpatient facilities both on and off of the Eskenazi Health downtown campus as well as at 10 Eskenazi Health Center sites located throughout Indianapolis.

Job Role Summary

The Bilingual Patient Service Assistant performs a variety of clerical and patient service duties necessary to maintain efficient flow of operations in the medical office. The Bilingual PSA serves as the first contact patients have with the system and utilizes appropriate customer service skills.

Essential Functions and Responsibilities

  • May answer multiple phone lines, schedule appointments, assemble, maintain, locate and file medical records
  • Completes check out functions and schedule return appointments
  • Alters activities/behaviors to reflect and ensure adequate service appropriate to the age of patients served (i.e. pediatric, adolescent, and adult)
  • Performs a variety of clerical and patient service duties necessary to maintain efficient flow of operations in the medical office
  • Verifies patient information
  • Copies/scans insurance information
  • Performs data entry to check patients into clinic, updates demographic and insurance information and enters information into the appropriate computer system
  • Answers phone lines within company guidelines, routes callers to appropriate destination, answers questions, and schedules appointments
  • Thoroughly and accurately completes the telephone triage form and routes to appropriate staff
  • Recognizes and responds to signs of patients in emergent distress and directs to appropriate clinical staff
  • Prepares patient charts for visits
  • Creates new medical record numbers when appropriate
  • Obtains patient consent for treatment and provides notice of privacy practice
  • Collects any co-insurance, co-pays of self-pay obligation
  • Prepares super bills and facility tickets for patient visit
  • Prints schedules and reports as required by site
  • Prints labels
  • Schedules appointments
  • Maintains and updates appointment status daily
  • Processes T accounts and works prebill edits
  • Processes 'no show' information
  • Communicates with back office staff regarding wait times
  • Monitors front office area to ensure patients/visitors are appropriately served
  • Balances and reconciles all money collected daily
  • Adheres to State and Federal safety guidelines
  • May be cross trained as check in, check out, phones, medical records and referrals

Job Requirements

  • Education requirements include: High School diploma or equivalent (GED) recommended
  • 6 months of clerical experience in hospital or health care setting preferred.
  • 6 months health care insurance experience preferred.
  • Data entry experience recommended.
  • Previous customer service experience preferred

Knowledge, Skills & Abilities

  • Knowledge of clinic processes
  • Working knowledge of multiple insurance plans and networks
  • Alpha/numeric filing skills
  • Strong computer knowledge and skills with proficient keyboarding abilities
  • Effective oral/written communication skills, including the ability to communicate with patients in a manner conducive to the patient's age and developmental stage
  • Ability to use multiple computer system applications
  • Ability to:
    • Operate standard office equipment
    • Work effectively under pressure of high patient volume
    • Multi-task
    • Communicate tactfully/pleasantly with public and all level of personnel
    • Be flexible to changing work duties and priorities
    • Follow oral/written instructions
    • Provide excellent customer service
    • Accurately count money and give change
  • Ability to interact with patients from all economic, educational, social, etc. backgrounds
  • Ability to treat all patients with dignity and respect
  • Must pass multiple computer system application exams
