Job Description
The work of the Wellesley College Alumnae Association (WCAA) staff supports the institutional priorities of Wellesley College by connecting alumnae to the College and to each other.

The Communications Specialist aligns and supports multi-channel communication efforts to alumnae. The focus of the position shifts seasonally between managing comprehensive WCAA communications to both broad and targeted alumnae audiences and the production of the quarterly alumnae magazine.

Primary Responsibilities

Alumnae Engagement (25% during magazine peaks; 75% off-peak)

  • Work with the Executive Director, Director of Alumnae Engagement and team to develop a communication schedule to meet regular and ad hoc communication needs for multiple audiences; project manage all communications.
  • Create and send all Alumnae Association emails in Mailchimp, Finalsite or alternate platform (approximately 2-3 per week)
  • Maintain WCAA web presence on Drupal and Finalsite platforms
  • Create and manage print mailings (4-5 per year)
  • Lead, develop and project manage print and/or digital program content for events (e.g. Reunion, WCAA Annual Meeting, Alumnae Achievement Awards, student outreach)
  • Create and project manage signage, name badges and other print production needs around Reunion and other events
  • Coordinate closely with the WCAA Assistant Director of Alumnae Engagement (Young Alum/Undergrads) on social media communications as needed.
  • Coordinate with campus colleagues in marketing/communication roles to ensure alignment of message content and timing.
Magazine (75% for 2 weeks quarterly; 25% off-peak)
  • Edit and QC class notes columns
  • Serve as contact for alumnae and friends of the college writing 100-word "memorials" for alumnae who have died; edit memorials for magazine and format in InDesign
  • Edit class notes columns for style and format in InDesign
  • Proofread the magazine each quarter along with the editors and coordinate delivery of PDF corrections to the magazine's designers
  • Write short news articles about faculty research, student life, and campus news
  • Monitor general magazine inbox and respond to general alumnae inquiries
  • Track news of alumnae and maintain database of alumnae information for both editorial and engagement opportunities
  • Assist with magazine social media presence on Twitter, Instagram, and Facebook
  • Assist in curating the magazine's website (coordinate content upload each quarter)
  • Participate in design planning meetings with our outside vendor
As a member of the WCAA team, will support Reunion and other event execution and planning as needed.

Experience Required
  • Experience writing for publication, following a style guide, alumnae/i magazine experience preferred
  • 2-5 years of communications technology experience
  • Print project experience
Skills and Abilities Required
  • Strong skills and expertise in Mailchimp and/or similar email communications software.
  • Strong skills in Drupal, Finalsite and/or similar web content management systems.
  • Excellent written and oral communication skills, including grammar and proofreading.
  • Strong interpersonal communication skills, ability to communicate effectively by phone and email with volunteers and colleagues.
  • Experience with graphic design, layout and print communication projects.
  • Excellent project management skills.
  • Commitment to diversity, equity and inclusion. Ability to work with a wide range of alumnae identities and perspectives and long-range institutional objectives
  • Comfort with a range of systems and the ability to adopt and develop expertise in new platforms. Familiarity with Google Suite, InDesign, Canva, Photoshop, Word, Excel, Mailchimp, Guidebook, Salesforce/Affinaquest, Zoom preferred.
  • Photography skills desirable but not essential
