Job Summary:

The Coordinator to the Assistant Vice President & Dean of Residence Life and Student Housing provides direct administrative support for the AVP as well as general departmental support to members of the reporting unit. This position coordinates all office management functions for RLSH. The position manages University processes, approvals and forms including purchasing, invoices, and supply purchases across over 100 budget organizations and supports strategic divisional initiatives that benefit the division of Student Affairs, Residence Life and Student Housing, and the student community.

Essential Functions:

  • Administrative Support - Provide direct administrative support to AVP and division support to unit team leadership. Includes assisting AVP in managing time access, serving as Concur delegate, calendaring and scheduling, general email inbox, and managing student, family and campus inquiries.
  • Office Management - Manage the general needs of the RLSH Central Office including supply purchases, resource management, space allocation, on/off-boarding of full time, graduate assistants, student workers, and Faculty in Residence to include access to University systems, scholarships, parking, ID cards, space access, office resources & serve as backup for several office function.
  • Teamwork - Work to support the initiative of all areas under RLSH. Collaborate with academic units in the scheduling and reservation the 12 RC classrooms to include providing access for all students enrolled in those classes each for each term. Provide support for move-in, move-out and general offices and unit processes. Advise students and staff on University processes and policies.
  • Financial - Review monthly financial reports for operating and reserve organizations and manage accounts payable for the department. This includes over 100 financial organizations that are utilized for Residence Life, Housing Operations and Academic Initiatives with a revenue of $35Million and reserve accounts totaling $16Million. This includes P.O.s, journal entries, and independent contractor determination forms.
  • Special projects - Provide administrative support for special committees and projects as directed by the AVP. Includes serving on committees and task forces in support of the RLSH strategic planning efforts. In addition to providing support for unit awards and recognition events and efforts including event preparation and budget management.
  • Student, Family and Staff Advising - Advise individual students as needed. Conduct consultation with students, families and staff to assist them with processes and systems. Assist students, faculty and staff with questions about processes such as financial procedures, purchasing, room reservations, and policies. Support the implementation and realization of the goals and learning domains in the Student Affairs strategic plan and RLSH strategic plan including other duties as assigned.


Qualifications

Education and Experience:

Associate's degree is required; Bachelor's degree is preferred.

A minimum of five years of full-time administrative support experience is required. Prefer work experience in a college or university environment.

Microsoft Office skills (Word, Excel, and PowerPoint) are required. Experience with PeopleSoft is preferred.
Knowledge, Skills and Abilities:

Candidate must have excellent interpersonal skills with the ability to interface effectively with a wide range of constituencies in a diverse community.

Must have excellent verbal and written communication skills, including the ability to communicate effectively with students, staff and families.

Candidate must possess outstanding administrative and organizational skills, including planning, time management, and project management abilities.

Must be strongly focused on details including appropriate handling of procurement card, purchasing responsibilities, and monthly financial reports.

Candidate must demonstrate problem solving and analytical skills.

Must be able to work independently as well as a collaboratively with colleagues, students and campus partners.

No regular evening or weekend work is required. Evening or weekend work is required a few times each calendar year.
