Job Description Summary
Reporting to the Assistant Dean for Admissions, the Director of Admissions for Penn's School of Dental Medicine oversees admissions functions for all programs, providing leadership for recruiting, enrolling, and onboarding students, developing relationships with program Admissions Committees to provide guidance on best practices and managing development and implementation of applications and software to continually improve the admissions process.

Job Description

This role is responsible for the oversight of the day-to-day operations of the office, budget, and admissions processes as well as a strong collaborative relationship with the Office of Academic Affairs and Student Affairs.

Manage entire admissions process for all programs:

  • Manage application software for admissions
  • Work with individual programs to update applications processes annually
  • Prepare application packages and enrollment templates for decisions
  • Collect all admission lists and create policies and processes
  • Manage the collection of student fees
  • Collects data, including application numbers, admits, rejections, demographics of applicants, yield, selectivity, etc.
  • Prepares reports on the applicant pool for all programs and PDM leadership


Manages admissions communications:
  • Ensures a welcoming environment for applicants, both those who visit and those who contact the office by phone or email. Track and respond to internal and external correspondence and distribute decision letters
  • Manage application-related inquiries from students
  • Provide guidance to prospective and current applicants during the admissions cycle
  • Serve as the interface with faculty, administrators, staff, prospective students, and advisors on policies and procedures


Applications and Admissions Software:
  • Manages IT systems needs and works closely with the PDM IT Dept and external vendors
  • Ensure privacy and confidentiality with sensitive and personal data for all mechanisms for maintenance of admissions software systems
  • Work with software vendor to ensure interface functionality, automated emails, and system updates are operating on schedule and in compliance with policies


Manage centralized visa processing:
  • Oversee financial certification for visa approval; ensure program compliance with visa policies for master's programs
  • Work with the programs to provide centralized oversight for all student visa applications
  • Coordinate a new process for tuition escrow for international students


Enrollment and Onboarding:
  • Work with Registrar and Financial Aid to enroll students for matriculation and course registration and ensure financial aid awards letters are dispersed


Recruitment:
  • Coordinate with programs to integrate marketing strategy into recruitment and admissions processes
  • Organize in person or virtual recruitment programs of all programs
  • Manage lists of inquiries
  • Ensure compliance with policies and keep abreast with national standards for admission
  • Maintain professional expertise through attendance at professional meetings, review of current literature, and contact with other admissions professionals
  • Monitors national trends and best practices relevant to the admissions process, and educates admissions committee members and staff about national changes in requirements
  • Represents PDM to various internal and external constituencies through participation in various conferences, professional organizations, consortia, and advisory committees


Typical Core Duties
  • Recruit, evaluate, and make recommendations on the selection of candidates for admission
  • Counsel and advise prospective students regarding application process, degree programs and other inquiries; lead information and recruitment sessions
  • Plan and manage and execute, domestic and international applicants; develop marketing strategies to attract applicants
  • Develop presentations designed to promote the institution and attract potential students
  • Assist in planning and implementing recruitment strategy to attract applicants
  • Develop and analyze admissions reports and statistics; provide reports to management to assist with setting the strategic direction of the admissions function
  • Develop relationships with university personnel, professional organizations, students, parents, alumni and secondary school staff
  • Ensure compliance with university admissions policies and procedures and applicable legal rules and regulations with respect to students' rights to privacy


Basic Qualifications
  • Bachelor's degree or equivalent work experience required
  • Minimum of 5 years' relevant work experience
  • Knowledge or familiarity with the health sciences professions and/or health sciences admissions is ideal


Additional Qualifications and Skills
Strong organizational skills, firm understanding of best practice recruitment strategies and admissions business processes, understanding of academic culture, knowledge of trends, issues, and accepted practices relevant to the position; excellent interpersonal skills.

Physical Requirements
  • Sitting using near vision use for reading and computer use for extended periods of time
  • Lifting (approximately 20 to 30 pounds), bending, and other physical exertion
