Job Summary:

The doctor assistant provides superior customer service to clients by answering questions and assisting them through their visit and hospitalization process. Assistant will be part of doctor morning rounds when possible and will be responsible for coordinating the patient census and daily hospitalized patient charges. Assistant will assist and relay veterinarian's instructions; make recommendations for services and products to clients based on their pet's lifestyle; potentially properly label and dispense medications; fax medical information to referring doctors, review paperwork with clients and communicate to the front desk any financial deposits into clients account.

Requirements & Responsibilities Include But Not Limited To:

Client Relations

o Ensure that clients and pets feel welcome and comfortable. Serve as "Ambassadors"-creating and maintaining goodwill for the hospital.

o Assist the veterinarians with globalvetlink.com to process health certificates

o Build rapport with clients and pets by exceeding the client's expectations of service.

o Immediately greet clients and pet by name (and correct gender).

o Quickly understand and initiate the process of meeting client needs.

o Give patient updates when doctors deems prudent

o Make sure the OTC ultrasounds with PVS are properly scheduled, deposit taken, and that the invoice is closed

o Handles client complaints with concern and diplomacy.

o Ability to effectively communicate and educate clients on general animal husbandry and answer non-medical questions.

o Understand general dietary requirements and feeding schedules of patients.

o Prepare, distribute, and explain client education materials. Present and explain discharge instructions, medication administration, and answer general questions about treatments, bandages, laboratory tests, medications.

o Make treatment plans as needed, present treatment plans to clients, have owners sign treatment plans and consent forms

o Communicates financials with clients

Departmental Responsibilities

o Compassionate care of assigned patients is the top priority for all patients.

o Be a part of the morning rounds as needed and if no floor coordinator for the day

o In charge of the hospital census and hospitalized patients daily charges

o Patient transfers, including patients transferring to the IM or SX Departments

o Plan and coordinate for the day with your veterinarian.

o Discuss hospitalized patients and the reasoning for stay.

o Maintain room assignment for the doctor. Assist veterinarians in directing traffic (patients and care).

o Assist the veterinarians in the use of WoofWare for documenting medical notes

o Load rooms for appointments, obtain a weight, obtain patient history, and obtain and confirm any new medications.

o Type in the medical record in Woofware the patient history, TPR (Temp; weight in KG's; MM, RR)

o Administer vaccines and medications (oral, topical, injectable) when needed or assign a Treatment Technician to assist.

o Prepare discharge instructions - Ensure doctor approval before client arrival.

o Medications are ready, food (when applicable), charges are ready and approved by the doctor, schedule follow up appointments (when applicable), input all conversations in WoofWare under a communication log.

o Fill prescriptions, review directions with clients, go over Drug Counseling options.

o Maintain and execute patient follow up to include but not limited to patient status checks, review of lab results, and follow up appointments after checking in with the doctor and/or technician.

o Administrative duties including: emails, phone calls, refunds etc.

o Participates along with all departments in client flow to ensure that clients and patients are seen and treated in a professional, timely and competent manner

o Give patient updates when doctors deem prudent (call or text) make sure to document all communication/conversations in WW through a "communication log".

o Input and maintain the doctors schedule in Woofware

Housekeeping:

o Make certain hospital, hallways, exam rooms, and work areas are clean- so a client could enter the area and see their pet in a clean environment. This includes your clothing and appearance.

o Advise Supervisor or Manager of any conditions that are unsafe, including unrecognized hazards or infractions of safety rules.

o Skills and Abilities:

o Must enjoy and be comfortable working in a hospital setting with a team of veterinarians, RVT's, TA's, DA's, and receptionists managing busy caseloads.

o Time management skills

o Able to multitask effectively and prioritize successfully.

o Present professional appearance and positive conduct

o Punctuality and dependability highly valued

o Knowledge of basic sales principles and application while making recommendations to clients

o Knowledge of principles and processes for providing customer service

o Able to work independently without direct supervision

o Must be able to understand WoofWare

Environment and Physical:

o Must be able to work for prolonged periods of time.

o Stand/walk/move about for prolonged periods of time while at the hospital

Authority:

o Direct and guide doctors through appointments and client communication

The following personal qualities are instrumental to your success in this field:

o Strong listening skills are necessary to understand and follow veterinarians' and veterinary technicians' instructions.

o Critical Thinker -when making decisions or solving problems, this skill will allow you to determine what your options are, evaluate them, and then choose the one with the most promising outcome.

o Must enjoy and be comfortable working in a hospital setting with a diverse team of professionals

o Must have excellent time management skills and be able to multi-task as needed.

o Punctuality and dependability is a must

Qualifications:

o High School Diploma or equivalent required

o Previous customer service or sales experience preferred

o Must be able to work schedule, which includes varied days and times, most weekends, occasional overnight, and some holiday work

o Reliable transportation to office

o Ability to work independently and without supervision
