Description

JOB PURPOSE:

The ideal candidate for this role should have solid organizational skills, exceptional work ethic, superior multi-tasking skills, proficient problem-solving abilities, and be able to demonstrate consistent performance. The exceptional logistics specialist will be able to effectively work in both the "front-of-house" and "back-of-house" settings. They will be able to flex with the needs of the department maintaining a positive and professional attitude. They will perform office moves, manage time allocations, be mindful of potential resource conflicts, be dedicated to customer service, and see that campus is optimally ready for campus events year-round.

ESSENTIAL DUTIES:

  • Oversees audio and video needs for events including live sound support, limited production, filming, recording, editing, and electronic delivery of files post event.
  • Completes regular walk-throughs of facilities to ensure that operational and service criteria are being met.
  • Meets cost, productivity, accuracy, and timeliness targets.
  • Completes monthly departmental reports as assigned.
  • Works with numerous other campus departments for the successful execution of summer programs.
  • Performs the Office of Conferences, Events and Support Services logistical duties along with the Support Manager: Campus Logistics.
  • Performs Campus Reset along with the Support Manager: Campus Logistics of all residential/classroom areas during the summer months and winter break.
  • Assists the Support Manager: Campus Logistics to complete office moves and relevant work orders.
  • Assists the Support Manager: Campus Logistics to perform set-up and breakdown of equipment necessary for events.
  • Assists the Support Manager: Campus Logistics as secondary backup for Mail Services operations, as needed.
  • Assists the Events Specialist with event support and staffing both on campus and at Cloverlea Farmhouse.
  • Assists the Events Specialist with hospitality support for weddings both on campus and at Cloverlea Farmhouse.
  • Assists the Director with administrative office duties, as assigned.
  • Assists the Director to ensure that all department resources are cleaned, organized, stored, inventoried, maintained, and replenished.
  • Attends all departmental required meetings and trainings, as assigned.
  • Performs any other related duties as may be required.
Qualifications

REQUIRED SKILLS/ABILITIES:

  • Ability to work without constant supervision or direction and with minimum instruction after the initial learning period.
  • Ability to act decisively to resolve problems.
  • Strong situational awareness and the ability to prioritize and stay composed under pressure with a proven history of success in a high-stress, multi-deadline environment.
  • Demonstrate strong organizational abilities.
  • Must be able to pass a background check. Must have valid Virginia driver's license and personal transportation.
  • Ability to learn various event setups, including banquets, meetings, expos, weddings, conferences, sporting events.
  • Demonstrate a moderate understanding of or the ability to learn commercial audio and video equipment.
  • Demonstrates good computer skills for the purposes of time management, operations, reports, work orders, event scheduling, audio/video editing, and others areas based on the needs of the department.
  • Displays the ability to multitask and perform many different duties all at the same time.
  • Ability to flex to meet the changing needs of the department.
  • Ability to understand and follow written and oral instructions.
  • Availability to work varied hours based on the needs of the University including nights, weekends, and holidays.

ORAL OR WRITTEN REQUIREMENTS:

Ability to give and receive oral and written directions with other employees. Good English-language writing skills.

WORKING CONDITIONS:

Much time walking/standing with moderate sitting. Normal work week is based on 39 hours, but seasonality may require up-to 50+ hours per week with flexibility to include evenings, weekends, and holidays on a regular basis. Must be able to lift at least 50 pounds unassisted. Some tasks involve climbing stairs, bending, stooping, kneeling and lifting. Limited regional travel. Frequent exposure to varying environmental conditions including large temperature variances of an outdoor environment and precipitation that may occur during events. This position is designated as Essential Personnel as outlined in the Staff Handbook of Personnel Policies and Procedures.

MINIMUM EXPERIENCE:

At least 2 years of experience in events, logistics, moving, or related field is preferred

MINIMUM EDUCATION:

An associated degree in relevant field, trade certificate, or equivalent (3+ years) experience.
