As an Executive Administrative Assistant, you will directly support one or more C-suite executives. Your responsibilities will include complex and confidential assignments. Managing complex schedules, organizing high-level meetings, handling sensitive information, and representing the executives to internal and external stakeholders. Compiling and analyzing data and preparing reports/recommendations for actions by the Executives you support.

What You'll Be Doing:
  • Respond to emails, calls, mail, and other inquires on behalf of the Executives using the latitude given to them by the Executives.
  • Proactively identify potential issues and roadblocks for the Executives schedule using advanced negotiation, decision making and complex critical thinking skills to remove barriers and implement solutions.
  • Recommend, promote and ensure efficient, effective operations administratively within and across the Executive offices they support.
  • Monitor and maintain recordkeeping systems, including highly sensitive and/or critical administrative and financial data.
  • Oversee input of specific data on behalf of the Executive(s) they support. Monitor data validity and compile, print, and distribute periodic reports and other information as appropriate.
  • Evaluate, recommend and implement process changes or upgrades in administrative procedures within and across the areas they support as appropriate.
  • Plan and coordinate meetings for Executives and teams they support including HP ELT and HP Board.
  • Coordinate and schedule travel, meetings, and appointments for the Executives they support. Completes expenses at the conclusion of travel.
  • Develop and deliver clear, concise, accurate and professional verbal, written, and electronic communications.
  • Work in collaboration with multiple HP internal and external departments and organizations to establish an annual calendar of events, meetings and engagements that require the attendance of the offices and Executives they support.
  • Manage multiple and sometime conflicting priorities; attention to detail required and demonstrated ability to ensure the highest level of professionalism and respect for confidentiality.
  • Manage, plan, schedule, and take minutes for all meetings of the Executives and areas they support.
  • May serve as a mentor for other administrative assistants.
  • Consistently demonstrates company values and expected behaviors.
  • Performs other duties and special projects as assigned.

What We're Looking For
  • Bachelor's Degree or equivalent experience, Master's preferred.
  • 7+ years of Administrative Assistance experience interacting with high level executives and staff.
  • Advanced Proficiency in Microsoft Office suite
  • Demonstrates a high level of competence and expertise with various software and technology platforms.
  • Demonstrated ability to manage confidential and sensitive information with discretion.
  • Excellent judgement and critical thinking skills in a sensitive and high-profile environment.
  • Strong writing skills to compose and prepare executive reports, documents, and presentations.
  • Ability to provide input into policy decisions and to mobilize resources to produce desired business results.
  • Exceptional oral and written communication skills.
  • Strong conflict avoidance/management skills as well as the ability to prioritize and hold individuals accountable when needed.
  • Self-directed, proactive and able to anticipate needs with the ability to take initiative.
  • Can manage ambiguity and deal with issues and concerns as they arise.
  • Ability to interact with all levels of internal and external constituents.
  • Knowledge scheduling, budgeting, purchasing and HR/Technology administration systems.
  • Ability to perform responsibilities within determined time frames with a high degree of accuracy.
