Position/Job Title: Executive Administrator III

Work Location: Washington, D.C.

Job Summary:

Galapagos Federal System, LLC is looking for an Executive Administrator III to serve as the administrative point of contact at the Counter Intelligence and Law Enforcement Directorate, Director Defense Intelligence for Counterintelligence, Law Enforcement, and Security, Office of the Under Secretary of Defense for Intelligence and Security (OUSD(I&S)). The position is part of the counterintelligence and law enforcement technical, policy and analytical support for the Office of the Under Secretary of Defense (Intelligence & Security) (OUSD(I&S)). The USD (I&S) is the principal staff assistant and advisor to the Secretary of Defense and the Deputy Secretary of Defense on intelligence, counterintelligence, security, sensitive activities, and other intelligence-related matters. The scope of the support services are to provide technical, administrative and subject matter expertise to include the essential duties and responsibilities for the position described below.

Essential Duties and Responsibilities: (Not listed in order of importance; other duties may be assigned) and must be able to perform the following with minimal guidance:

  • Maintains daily calendar and ensures operations are accomplished in a timely, professional manner.
  • Arranges for meetings, conferences, and video-teleconferencing, to include taking minutes and maintaining invitations attendee contact rosters.
  • Provides staffing support and oversight to more than 40 action officers and other staff for all required correspondence actions,( e.g., formal letters, memoranda, read-ahead briefing/meeting packages, activity reports, senior leadership reports, senior leadership reports, and travel/training/personnel documents) going to the Director of Defense Intelligence (Counterintelligence, Law Enforcement and Security)(DDI (CL&S)), Under Secretary of Defense (Intelligence), Secretary and Deputy Secretary of Defense, Congress, the National Counterintelligence Executive and other Defense, federal governmental and Intelligence Community organizations.
  • Tasks may include technical writing/editing, editorial consultation, proofreading, or overall documentation review.
  • Ensures documents are prepared in the appropriate DoD format and are free from grammatical errors.
  • Tracks all Directorate suspense's to ensure timeliness.
  • Composes staffing sheets and other documents as required.
  • Maintains and updates a variety of overarching CI & Law Enforcement's informational binders addressing staff, priorities, quarterly requirements, and other documentation.
  • Serves as division's Records Manager.
  • Prepares and/or oversees travel arrangements CI&LE Director.


Job Requirements
Qualifications:

Education and/or Experience/Skills Required:
  • Bachelor's degree is preferred
  • A minimum of 6 years' experience serving in a role with similar roles and responsibilities
  • Excellent communications skills - both written and interpersonal
  • Experience working with MS Office suite of applications
  • Excellent organizational skills
  • Ability to work autonomously and interface easily with senior leaders and other team members.

Physical Requirements:

Work may involve sitting or standing for extended periods of time. Position may require typing and reading from a computer screen. Must have enough mobility, including but not limited to bending, reaching, and kneeling to complete daily duties in a timely and efficient manner. May include lifting weigh up to thirty (30) pounds as necessary.

  • Strong self-starter requiring minimal supervision

  • Must be a U.S. citizen

Security Clearance:

DoD active security clearance may be required at a high-level security. Applicants selected will be subject to a security investigation and may need to meet eligibility requirements for access to classified information.
