Executive Assistant

We are seeking an Executive Assistant to provide high-level support to the Co-President / Owner of HITT Contracting. You will serve as his "right hand", providing confidential administrative support, acting as the gatekeeper and primary point of contact for internal and external communications, and designing and executing special projects across a range of areas. HITT Contracting is headquartered in the Washington, DC area (Falls Church, VA). Responsibilities

  • Understand and drive HITT's strategic priorities
  • Manage a variety of special projects for the Co-president, many of which may have considerable organizational impact
  • Gather and analyze data on a variety of topics; making recommendations and observations
  • Write policy and guidelines independently or in collaboration with the team members of the department it affects
  • Attends and participates all weekly senior leadership meetings
  • Create agendas, presentations, and talking points specifically designed for each audience being addressed
  • Prepare and distribute internal communications
  • Event planning and execution - training sessions, executive retreats, company wide
  • Complete a wide variety of administrative tasks such as: managing an extremely active calendar of appointments; composing and preparing correspondence that is sometimes confidential; arranging complex itineraries and agendas; distributing agendas and materials in advance of meetings, generating minutes and action items and ensuring they are accomplished in a timely manner
  • Handle all requests for meetings and appointments, scheduling or redirecting; act as gatekeeper to ensure that Co-presidents time is used respected and used wisely
  • Property management of various buildings owned by HITT principals
  • Act as a "barometer", having a sense for any issues and keeping the Co-president updated
Qualifications
  • Bachelor's degree required; MBA helpful
  • Related work-experience a plus, but willing to consider recent graduates as well if qualified
  • Previous experience managing projects through to completion
  • High proficiency in MS Office (Word, PowerPoint, Excel, Outlook)
  • Excellence in written and verbal communication, attention to detail, judgment, and discretion with confidential information
  • Ability to prioritize conflicting needs; handle matters expeditiously, proactively and follow through on projects to successful completion
  • Forward-thinking; actively seeks opportunities and proposes solutions
  • A high level of professional maturity and a solid work ethic
  • Eagerness to integrate into a family-oriented, entrepreneurial, and highly demanding work environment
  • Ability to present and analyze data
  • Ability to take initiative, work independently and collaboratively while integrating a high degree of attention to detail and organization
  • Very strong interpersonal skills, and the ability to build and maintain relationships with internal team members and external consultants
