Job Description:


Under the direction of the Vice President for Enrollment Management, performs highly accountable and complex administrative work, employing independent judgment to manage the day-to-day operations of the office. The position will facilitate a customer responsive environment and help achieve a well-organized and efficient outcome for the Division of Enrollment Management. This position is responsible for managing the Vice President's daily office and workflow and requires a high level of confidentiality.


The Executive Assistant will be responsible for:


Supports the Vice President of Enrollment Management and Leadership Team


  • Manages executive's calendar.
  • Develop and edit letters, presentations, reports, emails, memos, itineraries, and other correspondence as needed.
  • Schedule appointment, maintains daily calendar, and handles logistics for meetings.
  • Work collaboratively with the administrative support staff in the President's Office, other members of the President's Cabinet, administrators, faculty and professional and support staff.
  • Prioritizes conflicting needs; handles matter expeditiously, proactively, and follows-through on projects to successful completion.
  • Work collaboratively to keep all staff within the division appropriately advised of issues that directly affect them or matters relevant to the operation of the division and ensures that matters of confidentiality are maintained as such.
  • Attend and participate in Enrollment Management leadership meetings, VP staff meetings, VP Administrative meetings and other meetings/committee as directed by the VP.
  • Continuously enhances skills directly related to job responsibilities.

Coordinates management and daily work flow for the Vice President's Office


  • Work with the Vice President to track and monitor department budget expenses and handles all invoices/purchasing requests.
  • Ensure fiscal responsibility by actively monitoring and managing the budget; keeping the VP informed of budget status and working with the budget office, directors and administrative staff to ensure fiscal responsibility. Work with the VP to determine best sources of funding for various projects.
  • Serve as the first point of contact for the Vice President for Enrollment Management; provides a high level of customer service in a timely manner.
  • Manages the onboarding of new members of the Division of Enrollment Management and handles related staff and office changes on a case-by-case basis.
  • Manages the Purchasing Card process for the division.
  • Arranges travel for senior leadership team members within the Division of Enrollment Management with the ability to execute last minute changes, including developing itineraries and agendas, booking transportation, arranging lodging, and coordinating onsite and offsite meeting accommodations.

Manages a variety of special projects


  • Coordinate, manage, and complete high-level projects; collect, collate, and assemble data in appropriate formats.
  • Create and maintain Division-level reporting documentation as needed in the ongoing oversight of Enrollment Management.
  • Support events managed by the Enrollment Management Division including arrangements for facilities and staffing.


Requirements:


The successful candidate should possess an Associate Degree or equivalent experience. Bachelor's degree preferred. A minimum of 3 years of administrative assistant or general office experience is necessary. Administrative assistant or general office experience in a higher education setting is preferred but not required. The ideal candidate will be self-starting, highly motivated, detail-oriented, organized, and friendly, with knowledge and skill with the Microsoft Office suite of programs (e.g., Word, Excel, PowerPoint, etc). The candidate should possess excellent communication skills, both verbal and written. This position requires a candidate who is proactive and ambitious in seeking and completing projects and tasks. The ability to multitask and manage a variety of activities effectively are also needed for success in a busy work environment, as well as the ability to prioritize and anticipate deadlines.
