Executive Assistant to the EVP and Provost - 501373

SUMMARY:

Reporting to the Executive Vice President & Provost, the Executive Assistant to the EVP provides principle administrative support for the EVP, faculty senate, deans council and academic cabinet. Working closely with the Office of the President and the Office of the EVP & Chief Operating Officer, the Executive Assistant coordinates a range of C-suite activities, including event and project implementation and operation, coordination of University stakeholder activities, and as an advisor and proxy for the executive staff in the Office of the EVP & Provost.

RESPONSIBILITIES

Executive Support

  • Prepares briefing materials, agendas and coordinates scheduling for the Provost, academic cabinet, and deans' council.
  • Manage daily administrative activities, including communications, contacts, calendar, conflict resolution, research and other professional activities
  • Assess and prioritize matters requiring EVP & Provost attention, address incoming issues and determine appropriate course of action, referral or response
  • Anticipate needs and proactively address time and commitments of the EVP & Provost
  • Coordinate the administrative activities of the Division of Academic Affairs, including deans, directors, and area leaders
  • Provide administrative leadership for senior-level searches (eg. deans, directors, and Provost Office personnel)

Operations
  • Performs miscellaneous duties as assigned, including managing University-wide programs, gathering, investigating, and researching information affecting division-wide, intradepartmental, or interdepartmental operations
  • Support the University Faculty Senate, including meeting logistics, subcommittee administration, and communications
  • Manage the Office of the Provost's website
  • Coordinate University events and activities hosted by the Provosts Office (eg. symposia, colloquy, faculty/senate meetings)
  • Manage office atmosphere for appropriate aesthetics (eg. renovations, art selection and installation, etc.)
  • Train and mentor Project Specialist, and supervise student/temporary workers
  • Support visiting faculty appointed to Office of the Provost.
  • Manage P-Card and other accounting procedures for the Office of the Provost staff.

Research and Other
  • Gathers, investigates, researches, analyzes, and/or studies information affecting division-wide, intradepartmental, or interdepartmental operations
  • Collaborate with the EVP's administrative team to ensure consistent day-to-day operations, and provide general office support.

QUALIFICATIONS:
  • Expertise interacting with, and acting as a representative for high-level executives.
  • Demonstrated executive support skills, including considerable independent judgment, strong ability to anticipate needs and address them proactively, and ability to use discretion and make sound decisions having a broad administrative impact and implications.
  • Demonstrated ability to effectively interpret, organize, and present information and ideas in written or presentation form.
  • Excellent organizational and time management skills with the ability to set own priorities to coordinate multiple assignments with fluctuating and time-sensitive deadlines.
  • Ability to act in a highly discreet manner in the conduct of responsibilities.
  • Demonstrated ability to use tact and diplomacy in the effective management of a broad range of high level and sensitive interpersonal situations with diverse personalities, and to respond appropriately to conflicts and problems.
  • Demonstrated ability to maintain a high degree of confidentiality in the performance of duties.
  • Strong knowledge of organizational and management structures-particularly as it relates to a higher-education environment.
  • Excellent communication skills; ability to convey information in a clear, succinct, and understandable manner, both verbally and in writing.
  • Ability to work effectively in a high-level, visible, and fast-paced environment, with frequent interruptions and multiple levels of activity and priorities, while maintaining professional composure.
  • Thorough knowledge of English grammar, spelling and punctuation.
  • Proficiency in the Microsoft Office Suite.
  • Ability to learn University infrastructure, policies and procedures.
  • Demonstrated research skills, including the collection, evaluation, and interpretation of data to develop sound conclusions and make appropriate recommendations.

EDUCATION & EXPERIENCE:
  • Bachelor's degree with and five years of progressively responsible administrative experience as executive assistant or senior level staff assistant, or an equivalent combination of education and experience.
  • Extensive work experience involving staff support and interaction with senior academic and/or corporate officers.

WORK HOURS:
  • Full-time, exempt position
  • Monday - Friday, 8:30 a.m. - 5:00 p.m.; 7.75 hrs./day; 38.75 hrs./week

SALARY STRUCTURE:
Pay Grade 6- Salary commensurate with experience.
