South Puget Sound Community College (SPSCC) seeks a highly motivated and qualified candidate for the non-permanent position of Fiscal Specialist 1 - Billing Assistant. This is a non-permanent position that will work no longer than 18 months.
This position is responsible for all billings of non-grant contracts and non-student billing for SPSCC. This includes billing other state agencies (e.g. school districts on Running Start Programs, Office of State Treasurer, WSAC, Department of Education, etc.). This position is also responsible for billing in house programs of the College such as Dental and Events Management. The Billing Specialist assists the Fiscal Specialist 2- AR Accounting Assistant in reconciling AR aging and follow ups of outstanding receivables.

What You'll Do

Billing

  • Collaborates with Running Start Team to get the needed info for billing. Creates monthly or quarterly invoices on Running Start programs to bill School Districts
  • Collaborates with Student Services to bill for College in the High School fees (CiHS) from high schools participating in the program. Creates monthly or quarterly invoices
  • Collaborates with the departments handling In House programs of the college to create invoices which are:
    • Dental Office
    • Events & Management Department
  • Collaborate with AR Fiscal Specialist 2 and/or Financial Aid Department on EFT remittances received that need an invoice from Financial Aid State Grants
  • Collaborate with Student Financial Manager and/or Accounting Manager on G5 draw down for Financial Aid Federal Grants that need an invoice
  • Collaborate with Accounting Manager on billing the Office of the State Treasurer on VPA State Reimbursement
  • Financial Reporting
    • Assists the AR Fiscal Specialist 2 in the analysis and reconciliation of Due to/Due From accounts of other State Agencies at year end
    • Assists the AR Fiscal Specialist 2 in follow up collection of Outstanding Receivable monthly
    • Coordinate with AR Fiscal Specialist 2 on identifying invoices to match deposits
    Other Duties
    • Assist other fiscal staff with month-end and year-end close and during peak times
    • Perform other duties as assigned


    Qualifications You Possess

    Minimum Qualifications

    • Two years of fiscal record keeping experience AND 15 quarter hours or 1-2 semesters hours of college level accounting.
    Preferred Qualifications
    • Experience or understanding of Generally Accepted Accounting Principles.
    • Advanced knowledge of computers and software applications, especially MS Office - Excel, Word and Outlook.
    • Experience with accounts receivable/payable and general ledger accounts.
    • Strong organizational skills; strong aptitude for attention to detail and accuracy of information.
    • Reliability to be on the job and be a productive team member in a busy department with monthly, quarterly, and annual deadlines and seasonal workload requirements.
