Role:

The Receptionist/Administrative Assistant will greet, assist, and provide direction and information to clients, visitors, and other guests of the organization. This role is responsible for performing a variety of clerical and administrative tasks.

Responsibilities
Essential Duties and Responsibilities:
    • Answers, screens, and directs phone calls to staff; and takes messages
    • Greets clients, visitors, and guests; determines the purpose of each person's visit and directs or escorts him or her to the appropriate location
    • Responds to all customer inquiries in a polite and timely manner
    • Resolves administrative inquiries and questions
    • Receives mail, documents, packages, and courier deliveries and delivers or distributes items
    • Performs basic filing and recordkeeping
    • Performs administrative and clerical support tasks, including assisting other office personnel with assigned tasks
    • Retrieves information as requested from records, emails, and other related documents; prepares written summaries of data, as needed
    • Maintains office supplies and coordinates maintenance of office equipment
    • Copies and mails checks weekly to Corporate Office
    • Enters service calls and purchase orders into computer system
    • Performs other job duties, as assigned
Qualifications
Required Knowledge, Skills, and Abilities:
  • Excellent verbal and written communication skills
  • Excellent interpersonal and customer service skills
  • Proficient in Microsoft Office Suite or related software
  • Excellent organizational skills and attention to detail
  • Multi-tasking and time-management skills with the ability to prioritize tasks
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing
  • Ability to work independently and in a team environment
  • Ability to be resourceful and proactive with issues arise
  • Customer service attitude
Education and Experience:
  • High school diploma or equivalent required
  • Previous experience as a Receptionist, Administrative Assistant, front office representative or similar role required
  • Experience in HVAC Industry or other service business preferred
Physical requirements:
  • Able to operate a computer and other office productivity machinery, such as a copy machine, telephone, and computer printer.
  • Continuously able to work in office environment

  • Continuously able to sit at a computer for up to 8 hours
  • Able to alternate between sitting and standing, as needed throughout the day
  • Occasionally able to lift up to 15 lbs
  • Continuously requires vision, hearing, twisting, and talking
  • Occasionally requires walking, lifting, carrying, reaching, kneeling, pushing/pulling, bending, and crouching
  • Rarely requires climbing
