The Lead Staffing Analyst is a proactive member of an interdisciplinary team of licensed and unlicensed care givers who ensure that patients, families and significant others receive individualized high quality, safe patient care. It is expected that all RN Clinical Nurses - are licensed, knowledgeable and uphold the practice of nursing as outlined by the Georgia Professional Nurse Practice Act and implements the Scope of Practice and Code of Ethics Standards put forth by the American Nurses Association.

Job Summary: The Lead Staffing Analyst functions under the direction of the Manager of the Resource Management Center and is responsible for supervision of daily activities in the RMC and team members in the Staffing Analyst Role. This is an integral front line leader role that focuses tactical, logistical and strategic execution of the staffing plan for the enterprise daily. Essential functions include, but are not limited to: supervising and delegation of assignments for the Staffing Analysts within RMC; both proactive and retrospective analysis, reporting and creation of recommendations on staffing patterns/outcomes within scope of service in collaboration with facility level clinical contacts. Also serves as a a liaison with the facilities in driving ownership of a positive customer experience with RMC. Core Responsibilities and Essential Functions: Analyze Staffing Metrics - Analyzes staffing needs for the system through regularly scheduled data pulls. - Provide staffing forecasts coverage staffing "hot spots" over an extend period of time. - Runs retrospective and proactive reports on critical/KPI data to identify areas of improvement. - Able to communicate the story the data is telling through regularly scheduled and ad hoc reports - Communicates staffing data to appropriate leaders shown in regularly scheduled and ad hoc reports through email and verbal communication. - Analyzes future and immediate priority gaps based upon predicted census and live feeds. - Analyzes metrics to identify, plan and implement opportunities to improve during next schedule period. - Recommends changes in methods or procedures to increase staffing efficiency and ensure staffing grid accuracy. - Provides guidance to the Staffing Analyst, in collaboration with appropriate resources, for the creation of labor allocation plans, communications of plans, and execution of plans to unit and facility leadership, through the enforcement of the organization's staffing model. - Approve and maintain communication regard Critical Staffing Bonuses - Formulates instructions, templates, roadmaps, and master files for respective reports, and oversees staff for more continuity, uniformity, and proper standardization of reports. - Review Outcomes and collaborates on opportunities to improve resource placement decisions. Complete special projects as assigned. 30% Maximize Staffing Resources Overall - Proactively identifies gaps based on priority levels and workload ratios. - Analyzes both prospective and immediate priority gaps based upon predicted census; ensures staffing analysts are addressing gaps both proactively and in real time. - Proactively drives accountability for recruitment efforts by RMC to fill identified gaps in staffing needs . - Reviews core staff schedule to identify gaps and critical needs. - Communicates with leaders on strategies to fill gaps and critical needs. - Analyzes metrics to identify, plan and implement opportunities to improve during next schedule period. - Documents comments/notes related to call-ins or changes to the schedule in Smart Square. 30% Supervise Staff Development and Training - Assist Manager with interview, selection, evaluation process and hiring of new staff. - Plan and assist Manager in development and training opportunity for existing staff. - Develop training schedule for new employees and implement training. - Set standards regarding follow-up, noting and following process for documenting calls. - Search for and offer opportunity for educational opportunities. - Develop a plan for performance improvement. - Create opportunity to boost staff morale and staff engagement. - Oversee, update, and create department specific policies and procedures concerning confidentially - Enlists customer in providing feedback on customer service skills of staffing analysts and RMC overall; creates action plans to support optimization based on feedback 15% Supervise Quality Control and Staff Engagement - Assist Manager by providing information on individual staff performance as related to productivity for annual evaluations as needed. - Promote staff involvement in performance improvement. - Coaching staff when necessary. - Coordinate staffing to support department mission and vision and assure work load is distributed evenly. - Monitor data received from customers to assure processes and procedures are being followed by all staff. - Monitor individual analysts to assure performance skill levels. Monitor the accuracy of demographics and registration of classes entered into Centramax by call center resource representatives. - Monitor consistency of performance of all Staffing Analysts. - Communicate all changes with staff daily which include but are not limited too: critical needs, Joint Commission Visit and units that may require special attention when staffing. - Stay current on latest staffing trends, staffing Insecurities and clinical changes; communicate those efforts to the staff. - Ensure all staffing analyst are completing system required Success Factor training on time. - Perform other duties as assigned that assist in growth and success of department and system. Maintain Time and attendance through Kronos and keep track of occurrences. - Owns customer service and recovery efforts for RMC. Actively seeks customer feedback and creates actions plans with staffing analysts for improvement of customer experience as needed. 15% Resource - WorkSmart/Smart Square subject matter expert. - Collaborates with leaders to maximize core staff resources by developing effective schedules - Assist leaders system with proactive staffing models to maximize core staff placement - Completion of special projects as assigned by Workforce Engineering Leadership 10% Required Minimum Education: Bachelor's Degree in a healthcare or business-related field Required or High school diploma Required or GED with 4yrs commensurate related experience will be considered in lieu of degree. Required Required Minimum License(s) and Certification(s): All certifications are required upon hire unless otherwise stated.
    Additional License(s) and Certification(s):Required Minimum Experience: Minimum 2 years experience in a workforce planning or business operations role, preferably in a healthcare setting Required and Minimum 1 year of work experience in a customer service driving role, preferably in a healthcare setting. Required and Minimum 1 year work experience acting in lead or resource to others capacity leading, supervising, or coaching peers/colleagues. Required Required Minimum Skills: Proficient user of Microsoft Office Suite, relational databases and file structures. Strong logical, mathematical, organizational, verbal, and written communication and interpersonal skills. Must have strong analytical and computer skills. Customer relationship management acumen. Must be able to work collaboratively with staff and function under stress. Must be able to effectively communicate and understand verbal and written English language. Must be able to communicate effectively in a courteous, professional, and tactful manner. Maintain confidentiality and professionalism at all times. Able to think critically, work independently with little to no supervision, and able to make informed decisions based on then needs of the organization.
