JOB DESCRIPTION

About the role

Newmark is looking for two skilled Mailroom Services professionals in our client's San Jose office to undertake a variety of day-to-day mailroom and office-related tasks serving both sites in San Jose and Milpitas. Newmark is committed to cross-training our team members as we have an 'all hands on deck' team mentality. You may be asked to periodically cover the reception desk; travel to the Milpitas site (5-15 minute commute depending on traffic), help support large-scale office events and in general be a team player. You will be a key part in ensuring that our office operations run smoothly and our client-customers receive excellent service they remember!

You pride yourself in your ability to adapt, always with a positive attitude. You are comfortable multitasking and carrying out your duties with accuracy and speed.

QUALIFICATIONS

Essential Responsibilities

  • Managing inbound outbound packages, including international shipping
  • General mailroom-related duties like resolving lost mail issues, generating shipping labels, maintaining mailroom stock supplies
  • Coordinate freight shipments with client logistics team
  • Opening and sending specialty mail to respective departments
  • Respond to assigned helpdesk tickets assigned to mailroom services
  • Troubleshoot jams and perform normal key operator preventative maintenance on machines
  • Maintain records and logs of equipment usage, including recording accurate meter reads when required
  • Work with various technologies in the mailroom and office services
  • Participate in cross training and perform other duties assigned
  • Basic print services delivered on time such as:
    • Light graphic design compliant with branding guidelines
    • Operate printing press, plotter, digital copiers and laminating equipment
    • Maintain device readiness while working with the external vendors
Qualifications
  • High school diploma or equivalent
  • At least 2 years working in a lively office environment, preferably in an administrative role supporting office operations
  • Strong organization skills and the ability to manage multiple processes and priorities at the same time
  • Highly skilled in communication and customer service skills
  • Familiarity with postal and printing equipment and procedures
  • Experience with Envoy software is a plus!
  • Ability to lift and move packages weighing up to 25 pounds
  • First Aid/CPR training a plus!
  • A "No job is too small" mentality. This is a team effort!
