ECS is seeking a NAV On-site Office Manager to work in our Houma, LA office.

Job Description:
The candidate will support NOAA's new ship construction program office while building the NOAA AGOR Variant (NAV). The focus of this position will be to establish, maintain, coordinate and support the Government on-site shipyard project office located at Thoma-Sea Marine Constructors in Houma, LA. Activities will occur during all phases of design, construction, testing, delivery, warranty, PSA and commissioning. The candidate will report to the ECS project office lead but will need to engage/coordinate with various levels of staff from several different organizations.

The principal duties include but are not limited to the following:

  • Provide office coordination and support during on-site construction conferences/meetings and will support and/or help to facilitate management team meetings/reviews. The incumbent will manage documentation, reports, take and distribute minutes, facilitate communications with regard to various shipyard activities and submissions to ensure NOAA, Navy and ECS are coordinated.
  • Help to support and coordinate NOAA's daily activities at the project office.
  • Must be able to handle day-to-day tasks required to maintain calendars; assist in preparation, scheduling, and coordination of materials for briefings and reports; help to establish the new office, monitor office supplies and assist with supply orders; track the training program activities; and general administrative tasks ie process, sort, file, and route incoming and outgoing mail/communication.
  • Coordinate and schedule appointments and meetings and perform other administrative support tasks, including updating and sorting files, drafting and proofreading correspondence, and conducting research.
  • Coordinate, develop, document and help to manage all on-site programmatic activities as well as continually communicate status/updates with ECS/NOAA/Navy. Incumbent will assist with documenting and communicating items as directed to stakeholders and help to track as appropriate.
  • Coordinate with and assist with the coordination, scheduling, and travel for ECS and NOAA staff.

Required Skills:
  • Must be a US Citizen
  • Must be able to obtain a Public Trust Clearance
  • Equivalent experience, Associates or bachelor's degree
  • Strong customer service experience
  • Ability to work in a fast paced constantly changing environment
  • Minimum of 3 years of relevant experience in an office setting, preferably in customer service or in an administrative or clerical role
  • Excellent organizational skills, ability to prioritize, and comfortable working independently
  • Exceptional oral and written communication skills, including strong spelling, grammar, and punctuation
  • Must be committed to providing outstanding customer service and demonstrate strong interpersonal skills
  • Detailed oriented and well organized
  • Proficient in all MS office products and relevant software

Desired Skills:
  • Experience working in a ship/maritime environment
  • Experience with military projects, personnel
  • Experience managing a small office environment
