The University of Iowa Hospitals and Clinics department of Neurology is seeking an Administrative Services Coordinator (ASC) to support the Neurology Outpatient Clinics' Epilepsy, Neuroimmunology, and Neuromuscular specialties. This position will coordinate patient and physician schedules to arrange for clinical appointments, as well as act as an access navigator, both of which require extensive communication with patients and external entities when managing pre-visit, visit, and post-visit activities. Responsibilities include reception/patient check-in duties, serving as back up to primary reception staff, serving as backup to each subspecialty's primary support person, securing prior authorization to assist patients in gaining timely access to medications/infusions, attending to patients in exam rooms, assisting with check out, and scheduling follow-up appointments as needed. The ASC will also maintain and resolve issues with the master clinical schedule across all outpatient clinical services.

Job Duties and Responsibilities:

  • Assist with daily staffing needs as requested by the Clinical Operations Supervisor to ensure adequate staffing is met.
  • Assist with reception/patient check-in/check-out duties for the Neurology Clinic and Neuropsychology Clinic; checking-in patients and opening/closing clinics for the day.
  • Gather patient demographics. Explain HIPPA policy and obtain patient signatures.
  • Obtain signatures on forms to allow patient information to be sent to insurance companies.
  • Refer to EPIC documents as needed to answer questions regarding patient appointments.
  • Direct patients to various tests and research study locations.
  • Order transportation for patients through volunteer services and EPIC.
  • Answer phones at reception and direct calls to the appropriate services.
  • Enter physician referral information into EPIC as needed.
  • Assist patients and staff with benefits investigation and enrollment of patients into prior-auth status (i.e., infusions, pharmacy).
    • Communicate with patients, pharmacists and/ or providers to gather relevant demographic information.
    • Initiate and follow through for required prior authorizations, which may include pharmacy or medical authorizations
    • Assist clinical pharmacy specialists or other providers with initiation of appeals when applicable.
  • Distribute parking stickers and maintain accurate records.
  • Collect co-payments at time of check-in.
  • Perform as back-up for support staff during absences, assisting with scheduling patient appointments/tests and other duties for support services schedulers as needed.
  • May provide Qgenda maintenance assistance to Clinical Services Coordinator and serve as backup for Qgenda related tasks.
  • Performs miscellaneous clerical duties as assigned.
Pay Grade: 2B - https://hr.uiowa.edu/pay/plans

Percent of Time: 100%

Schedule: Hours to be worked between the hours of 7:30am-5:30pm/Clinic Close, Monday-Friday. No holidays, no weekends.

Supervision received: Supervision received by the Clinical Operations Supervisor or designee.

Required Qualifications
  • Bachelor's degree or an equivalent combination of education and experience
  • Minimum of 1 year experience with patient scheduling, clinical schedule workflows, or coordination of patient activities
  • Minimum of 1 year working experience in a medical/clinic setting
  • Excellent written and verbal communication skills
  • Demonstrated commitment to customer service
Desired Qualifications
  • Knowledge of University of Iowa Hospitals and Clinics policies and procedures
  • Experience with EPIC/EHR
  • Proficiency in computer software applications (MS Word, Excel, Outlook)
  • Experience working with spreadsheets and database data entry
  • Demonstrated ability to be self-directed and demonstrate excellent judgement in prioritizing multiple projects and assignments
