Position Summary

Supporting the Practice Plan Manager (PPM I), the Office Lead provides day-to-day operations coordination over a team of administrative, technical, and/or clinical support (non-provider) employees and guides office support services to provide support for physician and other providers. Troubleshoots daily operations problems to support an excellent experience for patients.

Essential Duties and Responsibilities: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other duties may be assigned.

  • Provides day-to-day operational coordination of a team of administrative, technical, and/or clinical support (non-provider) employees. Includes working in collaboration with FPPM I to escalate issues regarding operations, and managing performance of non-provider team members.
  • Coordinates operational needs/requirements of office such as maintaining machines and equipment, ordering office and medical supplies, equipment, phone service, and IT support. Maintain PAR levels of office supplies and medical supplies in the office.
  • Ensures operational compliance with MFA standards.
  • Ensures pre-visit and post-visit tasks are completed in a timely manner including but not limited prior authorizations.
  • Assists the FPPM I in providing information for budget justification, and maintains reports and records need to account for utilization of funds.
  • Supports and participates in, monitoring Appointment Manager past day and current day, and checks eligibility reports on a daily basis for all patient appointments.
  • Covers all administrative functions of the office as needed or directed by FPPM I.
  • Stationed at office front desk to assist with patient calls, check in, and check out.
  • Other duties as assigned and/or needed.
Qualifications

Education
  • A Bachelor's degree or an equivalent combination of training and experience is required.
Experience
  • A minimum of 2 years of administrative, billing, and office management experience, preferably in physician office and/or ambulatory care setting.
