JOB LOCATION

Office Manager will report to the project site, primarily sites are located within the Boston, MA area

EXPERIENCE

Construction experience preferred

PRIMARY RESPONSIBILITIES

  • Data entry, including owner billings, subcontracts, change orders, purchase orders, and journal entries
  • Execute Accounts Payable
  • Review purchase order, subcontractor and vendor invoices for approval and payment
  • Ensure that all daily timesheets are processed in a timely manner
  • Process Certified Payroll documentation as required by the Owner
  • Month end close process
  • Provide monthly Financial reporting to project manager
  • Ensure timely/accurate scanning and indexing of all correspondence/documents
  • Create and maintain organized files
  • Assist with billing and requisitions
  • Work closely with project manager and external partners including subcontractors and superintendents
  • Ensure COI's for Subs are current and Compliance Spreadsheet is kept up to date
  • Setup field office with the assistance of the Project Engineer
  • Maintains office equipment and office supplies
  • Welcome on-site visitors; determine nature of business, and direct visitors to appropriate personnel
  • Answer and direct incoming telephone calls
  • Facilitates onboarding of tradespeople and retention of records
