Job Overview: We are seeking a highly organized and proactive Operations Administrator to join our live production team. The Operations Administrator will play a crucial role in supporting the day-to-day operations of our live production facilities, ensuring efficiency, compliance, and smooth coordination of activities. This position requires strong administrative skills, attention to detail, and the ability to thrive in a fast-paced environment.

Responsibilities:

Administrative Support:

  • Provide administrative assistance to the live production team, including scheduling meetings, managing calendars, and handling correspondence.
  • Prepare and distribute reports, presentations, and other documents as needed.
Data Management:
  • Maintain accurate records of production data, including inventory levels, production yields, and performance metrics.
  • Enter data into databases and spreadsheets, ensuring completeness and accuracy.
Communication Liaison:
  • Serve as a primary point of contact for internal and external communications related to live production operations.
  • Relay information between production team members, management, and other departments as needed.
Scheduling and Coordination:
  • Assist in scheduling production activities, including staffing, equipment usage, and maintenance.
  • Coordinate with logistics and transportation teams to ensure timely delivery of materials and products.
Quality Assurance Support:
  • Assist in maintaining quality assurance standards by monitoring production processes and reporting any deviations or issues.
  • Collaborate with quality control personnel to address quality-related concerns.
Compliance Monitoring:
  • Support compliance efforts by ensuring adherence to safety regulations, industry standards, and company policies.
  • Assist in conducting audits and inspections as required.
Inventory Management:
  • Assist in managing inventory levels of materials and supplies, including ordering and replenishment.
  • Conduct regular inventory checks and reconcile discrepancies.
Documentation and Reporting:
  • Maintain organized filing systems for documents related to live production activities.
  • Generate and distribute reports on production performance, efficiency, and other key metrics.
Process Improvement:
  • Identify opportunities for process improvement and efficiency enhancement within live production operations.
  • Participate in continuous improvement initiatives and contribute ideas for optimization.
Qualifications:
  • Bachelor's degree in Business Administration, Operations Management, Agriculture, or a related field preferred.
  • Proven experience in administrative roles, preferably within a production or agricultural environment.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and data management software.
  • Attention to detail and accuracy in data entry and record-keeping.
  • Ability to work independently and collaboratively in a team environment.
Preferred Skills:
  • Knowledge of live production processes and agricultural operations.
  • Experience with inventory management systems or software.
  • Familiarity with quality assurance principles and practices.
  • Ability to adapt to changing priorities and thrive in a dynamic work environment.
