Opportunity Snapshot

Operations Administrator is responsible for supporting the team with the day to day management and administration of the Global Operations organization as well as provide general executive support duties. The position will develop, organize and execute project work plans, identify and implement process improvements and support the collection, analysis and reporting of portfolio performance data. The Operations Coordinator is responsible for driving multiple projects at once and coordinating the completion of initiatives by managing project schedules and coordinating project deliverables with both internal and external resources.

The Requirements

EDUCATION and EXPERIENCE

Bachelor's degree (B.A./B.S.) or equivalent from four-year College or technical school; or two (2) years related experience and/or training; or equivalent combination of education and experience in facility management or project management.

COMMUNICATION SKILLS

  • Ability to work closely with cross-functional teams.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of organization.

FINANCIAL KNOWLEDGE

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

REASONING ABILITY

Ability to apply common sense to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

OTHER SKILLS and/or ABILITIES

To perform this job successfully, an individual should have knowledge of SharePoint, Visio, Access, Microsoft Word, Excel and PowerPoint

The Role
  • Organize project work plans and manage day-to-day operational aspects of various projects and/or scopes of work from conception to completion, while ensuring adherence to budget, schedule and scope. Identify resources needed, review deliverables and assign responsibilities.
  • Prepare documents such as proposals, presentations, correspondence, contracts and standard reports as requested, and organize and maintain proper documentation filing systems.
  • Coordinate and arranges meetings, prepare agendas, and record minutes of meetings. Coordinate travel schedules and reservations for Sr Operations personnel or as necessary to support team events
  • Prepare and maintain organizational charts, employee site assignments and distribution groups for Operations.
  • Process departmental invoices and travel expenses as necessary, including preparing portfolio allocations for submission to Accounting.
  • Coordinate the documentation and review of all major policies, procedures and documents with appropriate subject matter experts, incorporate revisions and coordinate appropriate distribution.
  • Perform cross-functional policy audits to ensure accuracy and process consistency.
  • Track and ensure all operating manuals and handbooks are reviewed annually.
  • Responsible for reading & analyzing memos, submissions, and reports to determine significance and plan distribution accordingly.
  • Maintain all internal web-portal pages under the Operations Department by working with IT to manage access permissions and implement required webpage changes/additions.
  • Coordinate or conduct site-level compliance audits, consolidate individual site findings into summarized portfolio results, and provide recommendations for policy and training enhancements.
  • Assist with the production of training materials, presentations and manuals as needed and maintain materials, keeping them up to date.
  • Supports the planning, budgeting and consolidated reporting of operating and capital expenditures. Administer and assist in the preparation of annual budgets, forecasts, monthly reports, and variance reports as requested.
  • Support the management and administration of Operations' vendor management program, including preparing and analyzing vendor proposals, preparing contracts and developing procedures to ensure standardized.
  • Support the all general management and administration requirements of the Operations department, as may be required
