GENERAL SUMMARY/OVERVIEW STATEMENT:

The Patient ServicesCoordinator III, under supervision of the Practice Manager provides primaryinterface between the patient and providers for the MGH Back Bay Department

PRINCIPAL DUTIES ANDRESPONSIBILITIES:

Performs all duties andresponsibilities of a Patient Service Coordinator I and II

Patient Check-In and Check Out

Greets all patients andvisitors to the clinic in a professional, consistent, timely and respectfulmanner.

Provides information to patientsabout hospital and practice procedures.

Uses practiceinformation systems EPIC and Ambulatory Patient Tracking to check in eachpatient and verify demographic and insurance information.

Provides each patientwith required paperwork and obtains signatures on billing and various forms.

Collects co- payments.Cash Drawer Reconciliation Supervisor.

Determines and entersstatus of all patients in appointment scheduling systems (arrive, no show orcancel).

Performs all check-in,check-out functions as outlined by MGH/MGPO front desk (PACE) standards.

Calls patients who needto be rescheduled because of changes in clinician schedules.

Reviewer and editor ofall Provider templates.

Coordinates thescheduling of multiple appointments using multiple systems.

Triages complextelephone calls utilizing courteous customer service skills.

Uses InBasket Messagingto communicate with Providers, Staff and Patients.

Provide clinicians withscheduling support and day-to-day support

Actively works on weeklyreports; Recall report, Returned referral report, Mental Health report and WorkqueueList

Billing / Managed Care

Possess knowledge ofHMO, manage care and other third party insurers.

Understands financialservices and self-pay resources and provides patients with information asneeded.

Ability to enter anddecrement referrals authorization in EPIC

Follows clinic policiesfor reconciling copayment cash.

Calls insurers to obtainprior authorizations, mental health authorizations and referrals whennecessary.

Administrative

Tracks and coordinatesappointments related to patient population management and Pay for Performanceinitiatives.

Coordinates the direct patientadmission process to decrease Emergency Dept utilization.

Providesadministrative support to providers including correspondence on behalf ofphysician.

Manages paperwork fromhome health agencies to expedite reimbursement to the physicians.

Actively participates inthe "team huddles" as part of the caring role of patients in team based care.

Actively involved inPrimary Care practice re-design and process improvement.

Liaison betweenEnvironmental Services, Building and Grounds and Information Technology forcare of the environment, computers, printers and office equipment.

May act as trainer fornew support staff.

Assists in training andorientation of new coordinators.

Works with leadershipwith on-going departmental projects.

Monitors the patientwaiting area for patient wait time; patient flow and maintains neatness.

Works collaborativelywith patients, staff, clinicians and managers to determine needs and solveproblems.

Effectivelyinteracts with diverse population.

Performsall other duties that are unit specific and are appropriate to this level ofposition.

Other tasks as assigned.

WORKING CONDITIONS:

General clinic officesetting. High volume of people traffic.

Qualifications
EDUCATION:

3- 4 yearsof related experience preferably in a healthcare setting. High School diplomaor equivalent required: Undergraduate or Associates degree preferred
