GENERAL SUMMARY/ OVERVIEW STATEMENT: Summarize the nature and level of work performed.

Responsible for administrative procedures associated with the psychiatry consultation service. Under the general supervision of the Program Manager and Clinical Director of the Consultation Service, this position requires the ability to provide the appropriate administrative support to physicians and administrators in the department. He/she will also be responsible for helping with the Consultation service as well as a wide variety of projects related to program coordination, academic activities, and strategic planning. This position requires a detail-oriented candidate with superior follow through and organizational skills. Requires maintaining solid working relationships with a variety of physicians, administrators and staff throughout the department.

PRINCIPAL DUTIES AND RESPONSIBILITIES: Indicate key areas of responsibility, major job duties, special projects and key objectives for this position. These items should be evaluated throughout the year and included in the written annual evaluation.

    • Coordinates administrative support to the consultation service.
    • Manages all incoming calls/pages for consultation service
    • Pages physicians and updates patient lists for clinical service; works collaboratively with the administrative physician to maintain daily consultation service patient coverage as well as updating paging calendar, sending oncall schedules.
    • Maintains databases of all consult service visit tracking including accurate data entry; compiles non billable lists for tracking.
    • Responsible for monthly consultation service schedule including uploading to service and sending to the service. Updating and maintaining service schedule with any last-minute changes.
    • Responsible for collecting data used for internal tracking, includes but is not limited to number of consult patients seen by service/type.
    • Provides calendar support for the Associate Director of the Consultation Liaison Service, Director of Ambulatory Services and Director of Addiction Psychiatry as well as provides back up support for the Vice Chair and Medical Director of the Consultation Liaison Service.
    • Manages day to day office space requests
    • Dictation of letters and other correspondence for all providers on the service. Obtaining notes for quarterly OPPE/FPPE.
    • Helps coordinate article of the week program and daily medical psychiatry rounds
    • Help to update and manage the Service website ensuring accurate information in timely a manner.
    • Acts as a resource with the department's policies and procedures responding to a variety of inquiries applying knowledge of established operations.
    • Maintains good communication with and reports problems to the Program Manager
    • Participates in special projects as assigned by Program Manager maintains flexibility regarding workload and the needs of the service.
    • Performs other duties, tasks, and projects as requested to ensure the efficient overall performance of the practice, including cross-coverage of the Faculty/Trainee Mental Health Program and back up to the Program Manager as necessary.
    • Coordinates office maintenance and repairs.
    • Performs all other duties and tasks as requested by the Program Manager and Medical Director to ensure the efficient overall performance of the practice.


Qualifications
QUALIFICATIONS: (MUST be realistic, neither overstated nor understated, and related to the essential functions of the job.)

  • Associates degree and/or comparable experience required.
  • Experience working in a health care facility preferred

  • Ability to effectively handle challenging situations and to balance multiple priorities.
  • Knowledge of continuous quality improvement and ability to analyze work processes
  • Excellent verbal communication skills.
  • Excellent organization skills
  • Able to communicate effectively in writing.
  • Ability to use personal computers and select software applications.
