About This Position

The Department of Public Health Sciences, Health Services Research and Policy, at the University of Miami, Miller School of Medicine, has an exciting opportunity for a full time Project Coordinator. The candidate for this position will report to the Business Operations Assistant Director in the Department of Public Health Sciences (DPHS) and will manage general faculty administrative support tasks for various faculty from our six divisions and will also be responsible for operational and facilities tasks as assigned. The Senior Administrative Assistant performs both technical and complex and high level confidential administrative projects as well as general clerical work in support of the day-to-day operations of the DPHS. Applies independent judgment in the completion of assignments which include data compilation and analysis, facilities and operational projects/tasks, the development and preparation of project and discretionary budgets, and monitoring faculty discretionary spending and administrative support team expenses.


  • Assist Asst. Director of Business Operations with the Annual APT and Faculty evaluations

  • Oversee all the operational and facilities tasks for the department

  • Work the logistics for all the space related moves and maintenance of floor plans

  • Assist with the onboarding and offboarding of all faulty and staff

  • Responsible for managing administrative tasks which often includes details of a confidential nature for the Department of Public Health Sciences.

  • Will assist at the faculty request, on managing faculty discretionary allocation spending and tracking expenditure approvals.

  • Interprets and adapts internal processes to comply with guidelines as they develop or change within UMSOM.

  • Analyzes operating practices such as record keeping, forms control, office layout for administrative students, and workflow, and recommends changes as needed.

  • Provides recommendations to solve administrative and operational problems and to improve faculty administrative support and operational and facilities processes.

  • Works closely with the Assistant Chair and Asst. Director of Business Operations regarding matters related to compliance, policies and procedures.

  • Interacts with departmental faculty, departmental administrators, other university administrators, central offices, and external administrators to coordinate meetings and initiatives.

  • Ensures work products meet required deadlines and standards of quality.

  • Responsible for planning and organizing work related to major projects for the department faculty this could include manuscript formatting, updating other support documents, compiling references for a manuscript and/or grant submission.

  • Manage special projects as assigned by the Sr. Administrative Officer .

  • Oversees and ensures (per faculty requests) that all appropriate travel arrangements are made accordingly for faculty conferences, domestic and/or international site visits, collaborating institutions, and other travels as needed.

  • Oversees preparation of financial forms and processes (IDRs, eBERF's, POs, work orders, check requisitions, supply orders, reconciliation of travel cards for Faculty, etc.) and provide overall support to assigned division faculty members.

  • Oversees the scheduled events for department, room reservations, ensure room is set up to accommodate all attendees, arranging AV support as needed, organizing and printing agendas, and ordering food and refreshments as needed including completion of ECC form (event prior approval form to medical finance) as requested by faculty.

Minimum Qualifications


  • High school diploma or equivalent

  • One year of relevant experience

  • Ability to communicate effectively in both oral and written form.

  • Ability to maintain effective interpersonal relationships.

  • Ability to work independently and/or in a collaborative environment.

  • Ability to accurately prepare and maintain records, files, reports and correspondence.

  • Ability to understand and follow instructions.

  • Skill in completing assignments accurately and with attention to detail.

  • Ability to manage a budget and work within the constraints of that budget.

  • Ability to process and handle confidential information with discretion.

  • Proficiency in computer software (i.e. Microsoft Office).
