Job Summary:

Hill York seeks a Purchasing Administrator who is responsible for purchasing of part and equipment for our HVAC operation. This includes the processing of purchase requests, ordering from vendors, inputting and tracking the purchase order information into our ERP system, and following up on the status of orders. If you are an organized self-started who can multi-task in a fast paced environment and enjoys working collaboratively, then this is the position for you.

Purchasing Administrator Duties and Responsibilities:

  • Provide outstanding customer service to our internal team.
  • Assist to source and qualify new vendors.
  • Review and process purchase requisitions and initiate purchase orders.
  • Maintain purchase records and ensure proper approvals are received and documented prior to order.
  • Identify and source necessary parts by obtaining quotes to fill requirements.
  • Research and negotiate pricing with suppliers.
  • Assist in invoice discrepancy resolution.
  • Review and close purchase orders as needed.
  • Exchange documentation with vendors such as credit applications, COI's and W-9's to assist with creation of new vendors.
  • Interact and liaise with HY employees and vendors to maintain and manage accurate expected dates of delivery.
  • Track the progress of purchase orders from open to close and work to provide solutions so that orders are met and satisfied timely.
  • Provide routine administrative support.
  • Support Procurement Manager with other projects/items as needed, including, but, not limited to, reporting, P-Card management, item master updates/creations, and ensuring accurate approval documentation.
  • High school diploma or equivalent.
  • Minimum of two years of relevant experience.
  • Excellent communication, negotiation, and interpersonal skills.
  • Understanding of process and internal controls around the purchasing function.
  • Ability to analyze and process high volume of requisitions/purchase orders.
  • Strong desire for continuous improvement.
  • Intermediate to advanced experience with Microsoft Office Suite; eg. Excel v-lookups and pivot tables.
  • Working knowledge of MS Dynamics GP or other similar ERP systems.
  • Ability to multitask in a fast-paced environment.
  • HVAC knowledge is preferred.
  • Ability to work in a cooperative manner with co-workers, vendors, and clients.
