The Clinical and Translational Science Institute (CTSI) is the intellectual home for clinical and translational research and training at UF, integrating and synergizing the scientific and educational activities of 15 colleges, two academic and clinical campuses, two regional healthcare systems and the 67 counties of the State of Florida. The Research Administrator I (RA I) is responsible for coordinating administration of the FL Together Now grant.

Oversee invoicing in OnCore by (1) creating invoices in OnCore based on services identified by study coordinators via the subject visit check in process (2) assist department fiscal personnel with creating invoices in OnCore based on services identified by study coordinators via the OnCore subject visit check in process (3) creating invoices for some studies based on services identified by study coordinators via their tracking log.

Oversee the non-federal clinical trial revenue recovery process studies in OnCore by (1) consistently monitoring items to invoice and ensure invoices are created in a timely manner (2) consistently monitoring outstanding revenue aging report and follow-up with sponsors on any outstanding items over the timeframe designated by the contract and/or the University to ensure invoices are paid in a timely manner (3) responsible for recording deposits to applicable studies in OnCore and (4) bring any sponsor with excessive delinquent payments (timeframe and/or amount) to the attention of the Finance Manager and Assistant Director of Finance.

Responsible for modifications of 214 projects in UFIRST and myUFL. This includes verification of changes are consistent with the fully executed contract, protocol and the applicable Institutional Review Board to ensure consistency. Will require communications with departmental fiscal personnel for any issues prior to implanting changes.

Responsible closeout requests of 214 projects in UFIRST, myUFL, and OnCore. This includes verification of funds received from sponsor, outstanding funds after expenditure, ability of funds to be transferred per the terms and agreements, creation of the closeout document, closure of account and initiate transfer of funds via journal entry.

Responsible for performing QAs on study budgets entered into UF's Clinical Trial Management System (OnCore). This includes reviewing and understanding all open tasks assigned in order to perform the actions required for all tasks assigned to OCR Financials. Will require communications with other OCR teams for questions and/or comments related to the tasks assigned. Will require reviewing and understanding contract budgets.

Collaborates with Finance Manager and Assistant Director of Finance to complete special projects pertinent to OCR Post-Award operations by (1) preparing written reports on all invoiceables and outstanding revenue (2) summarizing data for Finance Manager and Director (3) providing input on standard operating procedures and/or policies and procedures (4) responsible for completing the Post Award QA of all budget entries and budget modifications entered into OnCore. Work with Pre-Award budget group on any and all changes and provides backup assistance to Post-Award Team members for all duties, including but not limited to (5) creation of 214 fund accounts in UFIRST and myUFL (6) upload deposit backup to OnBase the Universities online document storage software (7) prepare and process deposits only on an urgent basis as all other Post-Award Team members are unavailable and (8) any other duties as requested by the Finance Manager and/or Assistant Director of Finance.

Remote work/hybrid options possible.

Expected Salary:

$45,000-$52,000 commensurate with experience and education

Minimum Requirements:

Bachelor's degree; or an equivalent combination of education and experience.

Preferred Qualifications:

Must have demonstrated ability to utilize PeopleSoft management software and advanced Excel operations, and in-depth knowledge of grant budget and fiscal coordination and management.

University fiscal-related experience and ability to manage complex grant-related projects supported by multiple funding sources preferred.

Strong verbal and written communication skills.

Ability to plan, organize, multi-task, and coordinate work assignments independently; ability to meet deadlines.

Ability to work as part of a team toward organizational objectives.
