This position is in the Department of Chemistry & Biochemistry in the College of Arts & Sciences.

Responsibilities

The Senior Academic Program Specialist oversees the Graduate and Undergraduate staff of the Student Affairs office in the Department of Chemistry & Biochemistry. This position coordinates the graduate student program in the Department by acting as the primary point of contact with current and prospective graduate students to provide academic counseling and guidance.

In this role, you will be responsible for:

  • Communicating with current and prospective graduate students regarding recruitment, admissions, advising, registration, academic progress, tuition waivers, etc.
  • Coordinating graduate recruitment visitation weekends, including arranging travel, lodging, and scheduling of events.
  • Processing application materials for prospective graduate students in conjunction with the Graduate Admissions Office.
  • Planning and organizing orientations for incoming graduate students.
  • Collecting and communicating graduate student appointment information and assisting in the production of Graduate Assistant appointment and reappointment letters.
  • Maintaining tracking spreadsheets of all graduate student work information for facilitating graduate student affairs and reporting purposes.
  • Supervising staff in the Student Affairs office, including training opportunities and annual evaluations, while managing the quality of advising for undergraduate students.
  • Working with the Department Chair to ensure Graduate Assistant annual evaluations are performed and reported to the Associate Chair of Graduate Studies and the Graduate School.
  • Serving as a non-voting member of the Graduate Academic Advising Committee (GAAC) and Graduate Recruitment and Admissions Committee (GRAC).
  • Working with departmental leadership and committees to establish policy regarding academic requirements for graduate students and updating the Graduate Student Handbook.
Qualifications

The Department seeks a candidate with excellent communication skills and a keen attention to detail. Someone who is comfortable supervising others as well as completing administrative tasks. Being a known problem solver and working well under pressure would make someone a great fit in this role.

Minimum requirements include:

Bachelor's degree and four years of experience; or a high school diploma or equivalent and eight years of experience. (Note: a combination of post high school education and experience equal to eight years.)

  • Strong written and verbal communication skills.
  • Ability to prioritize and multitask.
  • Experience utilizing problem solving skills and the ability to supervise others.
  • Ability to gather, interpret, report, and/or edit information.
  • Experience with Microsoft Office Suite, specifically Excel.
  • Knowledge of the academic resources available to students
  • Ability to interpret academic program requirements and provide advice.

Anticipated Salary Range

Anticipated salary in the low $40,000's; commensurate with experience and qualifications.
