Cushman & Wakefield has an opportunity for a brokerage specialist role in its New York office. This position provides business development, client service, transaction execution, marketing and team coordination support to a leading office leasing brokerage team.

Job Description

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Provide business development support, research & organize/manage CRM
  • Manage client database, key lease dates, market updates, respond to requests
  • Transaction management including prepare/edit proposals, agreements, property presentations/tour books, coordinate financial analysis requests, commission invoicing and collection
  • Assist/coordinate content creation with marketing team
  • Manage team lists/databases, special projects, reports, collaboration with other departments
KEY RESPONSIBILITIES

Business Development
  • Manage CRM
    • Enter new prospects & updates on prospect communications
    • Generate lists and reports to support follow up
    • Manage tasks and follow up timing
    • Create tags and other searchable tracking to facilitate sharing relevant market information and original content
  • Assist with LinkedIn account management
    • Create and manage new and recurring searches to generate follow up & new prospects
    • Conduct research on organizations and individuals
  • Conduct new prospect research
    • Review select periodicals regularly for relevant articles/potential new leads
    • Research specific prospects provided by brokers to identify existing Cushman & Wakefield relationships, LinkedIn connections, previous transaction details, recent news, market opportunities
    • Provide contact information through Zoom Info and other sources
Client Service
  • Track client engagement through database / CRM
    • Key lease dates
    • Building and submarket updates
    • Leverage / share materials prepared for other clients as relevant
  • Respond to certain client requests
    • Space information
    • Select scheduling
    • Provide previously sent documents
  • Maintain and track client contracts
    • Coordinate with legal team on behalf of broker
    • Exclusives to acquire
    • Disposition agreements
    • Agency agreements
    • Confidentiality agreements
  • Attend select client meetings
    • Provide meeting summaries
    • Track / coordinate / manage follow up items with team members, other Cushman & Wakefield departments and third-party consultants
    • Update client on follow up timelines
  • Assist third party consultants / vendor requests from clients
    • Track list of broker recommended architects, engineers, project managers and other consultants
    • Facilitate communication between clients and other consultants / vendors
Transaction Execution
  • Prepare site search / space survey presentations
    • Obtain basic building information from CoStar and other databases
    • Email/call brokers for detailed space information
    • Create maps of presented buildings/spaces
    • Prepare presentation in PowerPoint or similar using templates
  • Assist with tours
    • Coordinate with building brokers
    • Modify space survey into tour book
    • Attend select tours
  • Draft proposals and RFPs
    • Prepare initial draft based on previously completed documents and broker input
    • Provide redline/compare docs between various versions
    • Assemble proposal matrix / summary packages for client's review
  • Building agency support
    • Assist with updating and maintain leasing status reports
    • Assist with marketing and follow up to brokers and direct prospects
    • Coordinate with third party marketing firms and other consultants
    • Update listings on third party sites (CoStar, etc.) to ensure up-to-date information and marketing materials (flyers, photos, renderings, etc.)
  • Assist with financial analysis
    • Help prepare analysis request summaries to be sent to analyst
    • Create financial analysis summary charts to present with proposal matrix / summary packages
  • Assist with lease review
    • Compare lease language against details of final term sheet
    • Provide redline/compare docs between various versions and help summarize key open points in negotiation
    • Assist with preparation abstract of final lease
  • Manage deal closeout
    • Prepare deal sheets
    • Assemble final lease documents
    • Track commission agreements
    • Provide commission calculations
    • Coordinate Cushman & Wakefield departments as needed (accounting, research, etc.)
    • Facilitate invoice creation
    • Track open invoices
Marketing
  • Coordinate presentations and client deliverables
    • Communicate with marketing team on behalf of broker to produce presentations, maps, studies, etc. through in-person meetings and follow up emails/calls
    • Edit existing documents created by marketing team to make limited final changes and repurpose existing documents for different clients
    • Track project timelines and ensure timely completion
  • Prepare select simple / form presentations and documents
    • Tour maps
    • Property intelligence reports
  • Track and maintain database of client materials, presentations, studies, etc. to
    • Expedite new content creation
    • Leverage new materials to maximum number of relevant clients and prospects
BACKGROUND AND EXPERIENCE
  • Bachelor's Degree (Business, Marketing, Communications, Real Estate, a plus)
  • 2-5 years experience in a professional organization
  • Real estate industry and marketing experience preferred (Real Estate license a plus)
  • Administrative experience for executive level professional for more senior positions preferred
  • Advanced knowledge of Microsoft Office
  • Experience with InDesign and Salesforce (or other CRM) a plus
