ABOUT THE JOB
The ACLU seeks a full-time position of Special Assistant to the National Legal Directoramp;nbsp;in the Legal Department of the ACLU's National office in New York, NY.

The ACLU National Legal Department is comprised of fourteen subject matter projects, clustered in three Centers. The National Legal Director supervises the work of all the projects, and handles all of the ACLU's Supreme Court work, whether it arises from a national project or an affiliate. In addition, the National Legal Director manages the National Legal Department and advises and assists on trial and appellate court litigation on an as-needed basis.

Reporting to the National Legal Director, the Special Assistant to the National Legal Director will be responsible for assisting the Legal Director, managing administrative tasks, performing paralegal duties related to the department's Supreme Court work, and assisting with operational duties for the department.
RESPONSIBILITIES

  • Support the day-to-day work and short and long-term priorities of the National Legal Director, a member of the Senior Staff, and their departmental vision
  • Provide workflow management support, coordinate key logistics for departmental meetings, convenings, and organizational priorities
  • Drive efficiencies and accountability for internal operations through team meeting coordination and deliverables follow-through
  • Coordinate National Legal Director's cross-functional work, including scheduling and managing a confidential calendar with a high volume of appointments/meetings and competing prioritiesamp;nbsp;amp;nbsp;
  • Provide logistical and administrative support to the National Legal Director, including but not limited to arranging travel, submitting expense reports, and coordinating logistical materials and preparations for meetings and engagements
  • Process payment vouchers and other routine requirements associated with covering costs from the "Legal Oversight" budget
  • Conduct research and prepare talking points and presentations for the National Legal Director for internal and external audiences, including Board and/or donor-related engagements
  • Provide administrative support for department-led events including room reservations, preparation of relevant materials, and handling catering needs; manage department supplies inventory
  • Provide broad logistical support and assist in managing the day-to-day operations for department, at the direction of the National Legal Director
  • Draft memos, correspondences, and other materials; respond to written and verbal inquiries in a timely and accurate manner, as directed
  • Maintain an organized system of tracking, monitoring, and prioritizing tasks and projects related to the National Legal Director's portfolio
  • Provide paralegal-level support on matters before the U.S. Supreme Court, including:
    • preparing and formatting briefs, petitions and joint appendices
    • proofreading and cite checking briefs for stylistic and substantive accuracy
    • overseeing electronic filing of briefs in court
  • Draft a monthly National Legal Department newsletter updating National Staff on our litigation
  • Manage ACLU's Continuing Legal Education program, this includes:
    • Maintaining the ACLU's status as an approved provider of NY CLE programs by filing annual reports
    • Accredit internal CLE programs according to the NY CLE Board standard
    • Prepare course materials, and issue CLE certificates to lawyer participants
  • Assist in managing the day-to-day operations of the department
  • Manage the administrative onboarding and offboarding for all new National Legal Department staff
  • Work closely with IT to ensure new staff access to legal systems and databases
  • Track and analyze monthly lobbying and electioneering reports; send these reports to the Finance Department for further tracking and monitoring
  • Schedule, plan, and help facilitate for on-site as well as off-site meetings, conferences, and presentations, which may include coordinating arrangements for participants, handling logistics, preparing and disseminating materials
  • Coordinate department internship postings; review, and provide leadership support for the department internships as needed
  • Engage in special projects and other duties as assigned

EXPERIENCE amp;amp; QUALIFICATIONS
  • Demonstrated track record of success in complex, fast paced work environments with ability to manage multiple projects simultaneously
  • Highly organized with strong attention to detail and ability to exercise a high level of discretion, confidentiality, and professional integrity
  • Excellent time management skills
  • Experience in managing a complex, confidential calendar for a principal and conducting administrative duties
  • Proficiency with the Microsoft Office Suite, including Excel and PowerPoint
  • Proficiency with, or able to quickly become proficient with, a range of general and specialized applications and software used in the organization
  • Strong familiarity with project management software tools (i.e. Concur, Asana)
  • Excellent interpersonal skills with the ability to engage stakeholders at all levels
  • Strong verbal and written communication skills
  • Ability to handle confidential and sensitive information in a professional manner
  • Ability to take initiative and work independently as well as within a team
  • Willing to conquer the "small tasks" with an understanding of their vital importance to the success of the broader mission
COMPENSATION
The annual salary for this position is $72,141 [J level]. This salary is reflective of a position based in New York, NY. This salary will be subject to a locality adjustment (according to a specific city and state), if an authorization is granted to work outside of the location listed in this posting. Note that most of the salaries listed on our job postings reflect New York, NY salaries, where our National offices are headquartered.
