The University of Miami is currently seeking Senior Project Coordinator to work at the Dominion Tower in Miami. The incumbent coordinates project activities to ensure projects are on schedule. This role provides administrative and logistical support including meeting arrangement, progress tracking, and documentation. In addition, this job also prepares comprehensive action plans that detail available resources, timeframes and budgets for projects.

CORE JOB FUNCTIONS

  • Assists with the assignment of tasks to internal teams to include schedule management.
  • Assists with budget preparation and tracks all project related expenditures.
  • Monitors project progress and addresses any issues that arise. Assists with the identification of completion shortfalls.
  • Acts as the point of contact and communicates the project status to relevant stakeholders. Communicates timeline changes and new information to project team.
  • Creates and maintains comprehensive project documentation, plans and reports. Ensures all needed documentation is current and properly filed and stored.
  • Ensures adherence to standards and requirements by reviewing project objectives against deliverables.
  • Organizes, attends and participates in project meetings.
  • Prepares necessary presentation materials for project meetings.
  • Records minutes and takes detailed notes during meetings.
  • Evaluates current procedures and recommends changes to improve the efficiency of planning and scheduling of projects.
  • Adheres to University and unit-level policy and procedures and safeguards University assets.
Department Specific Functions
  • Manages organization and documentation of continuing education activities for reporting purposes. 20%
  • Coordinate various conferences, including liaise with the Hotel Staff to include, DOCCS, Conference Services Managers, Catering Managers, Group Sales Managers, Banquet Department and Group Coordinators, to plan special requests for clients and special events 20%
  • Develops and administers evaluation surveys and assists with data collection and analysis to maintain the quality of education programs. 10%
  • Records and maintains education intervention data: attendance, case presentations, evaluation surveys. 10%
  • Provide technical assistance and coordination services to investigators on funded research projects, e.g., recruitment and retention strategies, developing and testing recruitment materials, and questionnaires, assisting in research training activities, data collection and managing databases. Support the regulatory submission and document filing on new and current clinical research studies. 15%
  • Develops data verification methods and standard system procedures. 10% Submit medical educational grant applications 5%
  • Supports walking/virtual observership rounds in the hospital 5%
  • Performs other duties as assigned by the Program Director 5%

CORE QUALIFICATIONS

Education:

High school diploma or equivalent

Bachelor's degree preferred.

Experience:

Minimum 3 years of relevant experience
