The Systems Specialist, reporting to the Technical Project Manager and guided by the Senior Associate Registrar, offers technology leadership and support to the Registrar's Office. They understand the student lifecycle and associated systems, collaborate with stakeholders and vendors, and propose and implement tech solutions to meet operational goals. They also coordinate with other systems managers within the enrollment management team.

1. Manage the various technologies utilized within the Office of the Registrar and Enrollment Management Services. The technologies include, but not limited to: Ellucian Banner and DegreeWorks, CourseLeaf, CollegeNet 25Live, Argos, National Student Clearinghouse, etc.
*Configure, monitor, maintain, and troubleshoot the technological solutions used within the Office of the Registrar and Enrollment Management Services.
*Identify, recommend, and implement technological solutions to meet the operational needs and goals of the Office of the Registrar and Enrollment Management Services. Lead software implementations and enhancements for the Office of the Registrar; Identify areas of improvement utilizing expertise to streamline processes and prioritize implementations; remain apprised of technology trends within higher education and monitor new and emerging technologies and upgrades to existing technologies
*Serve as high-level technical support for the Office of the Registrar staff and the University community; solve complex technical problems and provide specialized technical support
*Work closely with stakeholders to ensure University needs and requirements are being met; provide documentation and training to the Registrar's Office and university partners on business practices
*Analyze technological needs for the implementation of policies pertaining to student records; research solutions and provide input to relevant committees
*Ensure compliance with university security requirements, privacy regulations and other standards, policies and procedures, including FERPA regulations

2. Support and direct Office of the Registrar staff and campus partners with respect to technology-related needs
*Provide leadership at regularly scheduled meetings
*Identify needs of the Office of the Registrar staff and campus partners through observation of processes and consulting with colleagues
*Train staff on new systems and create/maintain documentation regularly
*Support the staff of the Enrollment Services Center with any registrar-related issues, including how to process, enter, and update data as well as creating documentation and training
*Communicate and implement any technical updates to end users in the Office of the Registrar, Enrollment Management Services, and campus partners

3. Responsible for the accuracy of data in the systems utilized by the Office of the Registrar and Enrollment Management Services. In conjunction with the Data Systems Specialist, responsible for the accurate reporting and dashboarding of the data
*Support the college coordinators and Enrollment Services Center staff with respect to reporting and dashboarding. Train and assist the staff in running and/or creating their own reports where appropriate
*Designs, tests and generates reports, dashboards, and visualizations that support decision-making and planning
*Work closely with the Enrollment Systems Support Coordinators to manage and monitor data loads into Enrollment Services systems
*Ensure the integrity of the data originating from Graduate Admissions and the Enrollment Services Center in the various Enrollment Management and University systems
*Data Manager within the Office of the Registrar, with responsibilities for maintaining security and integrity of student records
*Ensure University compliance with FERPA with regards to data access and distribution
*Establish authorization procedures to facilitate appropriate data access as defined by campus data policy and ensure data security for data within the student area; identify the access type (public, internal, or internal and sensitive) for each data element within the Student data subsets
*Work with assigned person in the Office of the Registrar to review and approve requests for data access by other University constituents in accordance with the campus data policy; regularly audit user access and make necessary adjustments to comply with institutional policy

4. Collaborate and work closely with University constituents and 3rd parties to accomplish daily work as well as short-term and long-term projects
*Participate as needed in Library and Technical Services (LTS) meetings
*Represent Enrollment Management Services to internal and external constituents that impact technology-related functions
*Participate at technology-related conferences and other types of training and professional development. Conferences may include: Ellucian Live, PA Banner User Group, EnrollmentRx Conference, Othot Conferences, etc.
*Monitor emerging technology trends as it pertains to data analytical technology solutions to improve services and data provided to constituents
*Investigate and evaluate possible solutions by working with colleagues on campus as well as technical vendors and colleagues at peer institutions
*Assist in the development and offering of Enrollment Management Week training for academic affairs units

Bachelor's Degree in Higher Ed, Computer Science, Business or other related field

Three to five years of related work experience

Demonstrated knowledge of student information systems, preferably Ellucian Banner products (SIS, Document Management Suite, Ellucian Workflow, Oracle SQL, Argos, or similar advanced reporting tool)

Excellent communication and interpersonal skills

Excellent analytical and decision-making skills

Proven ability to manage multiple tasks simultaneously
