Primary Function of Position:

As Workplace Services Coordinator, you will be responsible for monitoring and maintaining all Workplace Services initiatives and programs. This role will have input into developing, implementing, and maintaining effective processes for the efficient operation of all Workplace Services programs. You will engage with cross-disciplinary staff to conceive, design, and develop programs, policies, and processes. You will be responsive, flexible, and able to success within an open collaborative peer environment.

Roles & Responsibilities:

  • Assist with managing multiple programs and drive process improvements and program enhancements for existing programs.
  • Assist managing employee experience programs including but not limited to: Food & Beverage, Fitness, Transportation, Meeting & Events, and Amenities and Perks
  • Performs administrative tasks, prepares monthly performance measures report for key internal stakeholders and management
  • Ensures adherence to company policies and guidelines, safety & security procedures.
  • Demonstrate commitment and enthusiasm and utilization of quality tools to drive SLA attainment and exceed expectations. Ensure service levels are clearly communicated, understood, and performed by on-site and remote staff.
  • Report out on program updates on a weekly, monthly basis to all levels of the organization.
  • Oversee daily activities needed to ensure a functional, efficient, and safe working environment for employees.
  • Assist with the management of vendor service contracts, periodic and ongoing performance & financial review, conducting RFP’s, and assuring performance of team, including service providers.
  • Utilizes technology to perform tasks efficiently and demonstrates the ability to communicate effectively both orally and written.
  • Assists Management with planning, budget, schedule facility modifications, including estimates on equipment, labor, materials, and other related costs.
  • Expense control: process invoices and track expenses.
  • Leverage historical performance data and forecasting inputs towards driving sustained accuracy improvements on capital and expense expenditure.
  • Assist with tracking and reporting quarterly and annual sustainability metrics.
  • Maintain professional relationship with suppliers and internal clients.
  • Assist with managing employee communications
  • Manage and update internal employee resource websites with current information.
  • Assist with managing Workplace Experience portal. Duties include creating agenda for committee meeting and updating open ideas in timely manner.

Skills, Experience, Education, & Training:

  • Minimum Bachelor's Degree in engineering, or business from an accredited institution or equivalent years of experience
  • Minimum 5 years of direct, progressive professional experience in the management of the maintenance and operations of commercial buildings (general administration, R&D, manufacturing).
  • Strong skills: MS Office: Word, Excel, PowerPoint, Project, CMMS, BMS
  • Strong analytical skills.
  • Excellent business judgment, strong written and oral communication skills, and a practical, common sense approach to getting things done.
  • Highly developed interpersonal skills, with strong ability to lead internal and external resources, and demonstrated ability to communicate effectively with people at all levels, from individual contributor to executive leadership.
  • Highly effective communication skills - writing and speaking skills through written proposals, meeting facilitation, oral presentations.
  • Ability to work well in a fast paced, team environment, taking a leadership role and dealing with ambiguity effectively
